    Job Title: Clinic Coordinator (CMA, RMA, CPT, or LPN)
    Position Full-time - 40 hours/week
    Wage Type: Non-Exempt
    Reports To: CEO

    Position Purpose:
    The Clinic Coordinator provides a welcoming environment for our patients and visitors while assisting our world-class comprehensive care team.

    Education:
    • Required: High school diploma or equivalent
    • One of the following required:
      • Certified Medical Assistant (CMA) certification awarded by the American Association of Medical Assistants (AAMA),
      • or Registered Medical Assistant (RMA) certification awarded by the American Medical Technologists (RMA),
      • or Certified Phlebotomist,
      • or Licensed Practical Nurse (LPN) license awarded by the State of Wisconsin
    Experience:
    • 2 years minimum experience in an outpatient clinic required

    Expectations:
    Needs to be able to work independently. Also, must be organized, self-motivated and resourceful. Must be able to relate to patients in a pleasant and professional manner in person and on the telephone. Needs to work cooperatively with others as part of a multi-disciplinary team. Must have a good knowledge of standard office procedures. Computer skills necessary. Must abide by HIPAA regulations with patient confidentiality. Computer knowledge and skills proficient in Microsoft Office including Word, Outlook, and Excel required. EPIC experience required. Medical terminology preferred. Flexibility with hours when it comes to various community events throughout the year is appreciated.

    Responsibilities/Duties:
    • Front desk responsibilities to include welcoming all incoming patients/visitors, answering all incoming phone calls to the clinic promptly and courteously, and relaying messages promptly.
    • General office responsibilities includes data entry, monitoring faxes, incoming/outgoing mail, and ordering supplies.
    • Assist clinic staff with creating/updating patient files as needed, chart preparations prior to clinic days and scheduling changes/cancellations as they occur.
    • Manages requesting/receiving record requests.
    • Schedule clinic appointments and confirm with patient via phone and/or email.
    • Register new patients and completing patient check in process including gathering demographic and insurance information.
    • Assist with mailings-monthly patient billing, newsletters, invitation to HOC sponsored events (fold, stuff, stamp and mail).
    • Restock in exam rooms.
    • Assist HOC staff with additional tasks as they arise.
    • Maintain office equipment; call repair/service as needed.
    • Create upcoming events flyer.
    • Other duties as assigned.
    Physical Requirements: Standing, walking, reaching, and sitting. Fine motor skills including, but not limited to, fine finger movements and manipulation of equipment. Occasional kneeling, crouching, squatting, bending. Excellent hearing and ability to see objects closely.

    Working Conditions: This is a front desk position including assistance to the medical staff as needed. The working environment consists of a clinical office setting. It is an environment where moderate noise levels may be experienced. Exposure to blood and/or other body fluids with patients known to have or are at risk for HIV and/or hepatitis may occur.

    Position Type and Expected Hours of Work: This is a full-time position in a health care facility open 8 hours a day, 5 days/week (Monday through Friday) except for holidays recognized by the Hemophilia Outreach Center. Expected hours are 8:00am until 4:30pm. Some additional hours are possible on an as needed basis depending on schedule of events, operational demand, and/or patient demand.

    Travel: Some travel may be expected per discretion and approval from CEO if there is a need and appropriateness to attend a meeting, seminar, training session, etc.
