    Summary of Main Duties:

    Serves as the primary point of contact for the President to internal/external stakeholders, providing outstanding administrative support. The Executive Assistant frees up the President's time and allows the President to focus on organizational strategy and growth. This position requires a combination of focus and flexibility, as well as the ability to put the President's and organization's interest above all else. The ideal candidate is a highly resourceful individual with strong emotional intelligence, self-motivation, and integrity. The Executive Assistant must exercise good judgment, have strong written and verbal communication, organizational and project management skills to manage multiple priorities, must be comfortable working independently on (confidential) projects from conception to completion. Discretion and confidentiality is imperative.

    Essential Duties:

    • Effectively coordinate the activities and commitments of the President by producing and managing an integrated master calendar of key events, dates, and deadlines critical to the organization's business.
    • Manage the President's calendar, including scheduling daily/weekly/monthly meetings.
    • Plan, coordinate and ensure the President's schedule is followed and respected. Provides "gatekeeper" and "gateway" support for direct access to the President's time.
    • Supports the Development Team with administrative tasks as requested (i.e., database management, letter writing, etc.).
    • Expeditiously and proactively manages the flow of information by researching, prioritizing, and following up on incoming issues and concerns including those involving a high level of sensitivity/confidentiality. Determines appropriate course of action, referral, or response based on priority.
    • Manages all travel for the President including by not limited to scheduling transportation and lodging per established preferences or as requested, developing itineraries and agendas, registering/purchasing tickets, completing expense reports, etc.
    • Assist President in the organization and development of quarterly written reporting to the Board.
    • Provides support to the Chair of the Board and members of the Board's Executive Committee as needed.

    Requirements:
    • Strong work tenure with 5-10 years of experience supporting C-Level Executives, preferably in a non-profit organization.
    • Experience working with Board of Directors, volunteers, and donors; including meeting practices and recording minutes.
    • Experience drafting executive level correspondence, reports, letters, etc.
    • Highly proficient in Outlook, Word, Excel, and PowerPoint, and general technological savvy.
    • Ability to work some long hours when needed; will need to attend evening meetings, annual meetings, and early morning meetings.
    • Bilingual with English and Spanish preferred.
