    Description

    Summary



    The position is located in the Department of Veterans Affairs (OVA), Veterans Health Administration (VHA), Mid-Atlantic Health Care Network (VISN 6), Salem VA Medical Center, Mental Health Service Line (MHSL), Salem, Virginia. The Program Support Assistant performs administrative and technical support work for the Office of the Associate Chief, MHSL and back-up support for the Office of the Chief, MHSL, as well as provides general administrative support functions for the entire service line.



    Duties


    Major duties and responsibilities may include, but are not limited to:

    • Serves as a liaison between the Associate Chief, MHSL and other Medical Center and MHSL personnel based on written and unwritten office policy and practices.
    • Responds to correspondence, phone calls, etc. at his/her own discretion based on knowledge of MHSL operations in order to maintain smooth operations of the service line.
    • Types various kinds of material, including memoranda, letters, and highly technical professional and scientific papers.
    • Reviews outgoing correspondence for proper format, grammar, attachments, and conformity to pertinent regulations and policies.
    • Runs regular workload reports and analyses for clinical staff to help evaluate and determine administrative support needs.
    • Coordinates interviews, including schedules, meeting rooms, etc., of referred candidates for positions under the direct supervision of the Associate Chief, MHSL.
    • Files new employee documents within service line competency folders and forwards other documents to other services, as appropriate.
    • Assists in resolving problems or complaints from Medical Center personnel, service line staff, residents, interns, fellows, students, patients, and patients' families.
    • Schedules appointments and makes commitments for the Associate Chief, MHSL to attend meetings or other gatherings without prior approval based on working knowledge of Associate Chiefs schedule and workload.
    • Collects complete and accurate outpatient clinic patient data, and resolves CPT, ICD, and other data entry error messages appearing in ambulatory care reports.
    • Processes Access Request Forms for new employees and modifications for existing employees.
    • Provides program support for other administrative and clinical areas within the MHSL, as the needs dictate.
    • Assists various staff under the Associate Chief, MHSL in filling out necessary paperwork to carry out their assigned job duties, e.g., travel documents.
    Work Schedule: Monday - Friday, 7:45 AM - 4:30 PM

    Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.
