    Brief Description

    The Administrative Manager is responsible for:

    + Supporting the Director, Professional Affairs in managing key administrative functions for the Reporting Unit (RU) and the DC Office.

    + Providing direct support for the Vice President, Policy and Advocacy

    Specific Duties

    Primary duties and responsibilities:

    Management of Administrative Services:

    + Manage the federal lobby and disclosure electronic reporting system ensuring compliance with federal lobbying reporting regulations. Manage and file the lobby disclosure contribution report (LD-203) for the Vice President and CAP PathPAC.

    + Manage Human Resources activities for the RU which includes onboarding/orientation activities, HR employee programs and HR administrative tasks.

    + Work with the Director, Professional Affairs to prepare the RU annual budget; serves as the Workday Adaptive data manager, tracks and monitor monthly budget and reports significant variances to RU senior leadership.

    + RU lead for managing budget invoices, member reimbursements, purchase requisitions, and vendor/consultant contracts.

    + Support the Executive Operations Team in the smooth and efficient execution of Council/Committee Operations; including agenda book preparation and logistics planning/coordination of meetings and events.

    + Under direction of the Director, Professional Affairs, manage the RUs administrative functions for CAP-wide meetings and events, i.e., CAP Annual Meeting, Pathologists Leadership Summit.

    + Serve as the lead staff for on-site social events.

    Provide Direct Support to the Vice President, Policy and Advocacy:

    + Manage VPs calendar; coordinate and schedule meetings, conference calls and travel arrangements.

    + Prepare and submit expense reports.

    + Work on special assignments as requested.

    Facility Management:

    + Lead staff responsible for coordinating with CAP facilities maintenance staff on ensuring a safe, secure, and well-maintained facility (DC Office) that meets CAPs health, security, office aesthetics and maintenance requirements.

    + Serve as the primary point of contact with CAP facilities maintenance staff on issues related to Information Systems (on-site computer and communication-related projects, repairs and upgrades including the management of outside vendors), telephone system and other office equipment.

    + Primary contact and liaison for building management and maintenance.

    + Manage the CAP SMS emergency notification system and DC office emergency contact list.

    Technical:

    + Proficient with Microsoft Office Suite.

    + User competency in Electronic Record Platforms such as Oracle Purchasing, Expense, Workday Adaptive and other applications.

    + Ability and willingness to learn new systems.

    Education/Experience

    Education

    + Bachelors Degree preferred.

    Experience

    + At least 5 years office management/operations experience.

    + Experience with non-profit membership organization that is engaged in advocacy is preferred.
