    Customer Service and Operations Coordinator

    About the Job:

    BASIC FUNCTION:

    We are seeking a highly organized and detail-oriented Customer Service and Operations Coordinator to join our team at Swaby's Heating and Air. As a key member of our operations team, you will be responsible for ensuring seamless customer interactions, efficient technician management, and accurate data entry.

    Responsibilities:

    • Interact with customers via phone and email to schedule appointments and provide excellent customer service.
    • Route technicians effectively to maximize efficiency and productivity.
    • Debrief technicians to ensure timely completion of tasks and high-quality workmanship.
    • Handle payroll for technicians in a timely and accurate manner.
    • Enter, initiate, follow progress, and close calls in our computer system.
    • File and maintain accurate records of customer interactions and technical work.
    • Keep data correct in the computer system to ensure reliable reporting and analysis.
    • Dispatch techs to ensure prompt response to customer requests.
    • Scan paperwork into digital format for efficient storage and retrieval.
    • Organize paperwork into the computer as an attachment to the file to maintain accurate records.
    • Create new files as needed to track customer interactions and technical work.
    • Send maintenance agreement renewals on a monthly basis to ensure smooth customer relationships.
    • Send emails for scheduling purposes to facilitate communication with customers.
    • Call customers to schedule maintenance checks when necessary to prevent unexpected breakdowns.
    • Order parts as needed to ensure timely completion of repairs and installations.
    • Cultivate strong customer relationships through proactive follow-up and exceptional service.
    • Answer phones promptly and professionally to ensure positive first impressions.
    • Schedule installation jobs efficiently to meet customer demands and optimize resources.
    • Call in inspections when needed to address potential issues before they become major problems.
    • Provide support to the receptionist as needed to maintain a smooth and efficient front office operation.
    • Perform other tasks as assigned by management to contribute to the success of the company.
