    Description

    Overview

    Supports the licensed Community Association Manager on-site with delegated administrative, financial, or operational tasks, primarily focusing on financials.

    The Assistant Property Manager also offers exemplary service aligned with the values and mission of the Castle Group, showcasing exceptional customer service skills reflective of Castle Royal Service. This includes collaboration across departments and with external customers.

    Responsibilities

    (May include some or all of the following as applicable)

    • Reviews invoices for proper documentation and approval before processing.
    • Oversees and schedules staff for the site.
    • Maintains schedules, timesheets/cards for payroll.
    • Tracks activity logs and incident reports for review by the Community Association Manager.
    • Assists in preparing reports for monthly board packages.
    • Aids in vendor and invoice reconciliation.
    • Collects monthly rental payments, handles deposits, runs delinquency reports, and sends out notices when necessary.
    • Prepares rental or new resident packages as needed.
    • Fills front desk shifts when required.
    • Provides training for new hires in the department.
    • Assists in investigations, tape/log reviews for unusual incidents.
    • Supports Community Association Manager with special requests, administrative work, mailings, etc.
    • Monitors Emergency Response System and Electronic Security Control System if applicable.
    • Maintains daily logs, records, and forms.
    • Resolves complaints/issues and reports to Community Association Manager.
    • Ensures a safe environment on the property/building(s).
    • Follows safety precautions and procedures diligently.
    • May be assigned other duties by the on-site Community Association Manager.

    Qualifications

    Education/Training/Certifications/Licenses:

    High school diploma required. An Associate's degree with an accounting focus is preferred, or an equivalent combination of education and experience.

    Experience/Knowledge/Skills:

    Two to three years of accounting/bookkeeping experience is preferred. Strong customer service, communication, and interpersonal skills are necessary. Must be detail-oriented, able to multitask, and possess effective written and verbal communication skills. Demonstrates excellent customer service, communication, and time management skills.

    Strong verbal and written communication skills for building effective relationships within the organization.

    Computer literacy:

    Intermediate computer hardware/software skills required, knowledge of Microsoft Windows, Word, Excel, PowerPoint, and Outlook. Experience in website maintenance is desired.

    Language requirements:

    Fluency in multiple languages is advantageous.

    Travel and availability requirements:

    May need to travel for off-site training sessions occasionally. Might be asked to cover front desk shifts at other locations within reasonable commuting distance as needed. Must be open to working extended hours and weekends as required.

    Physical Requirements:

    Capable of lifting up to 5 lbs. and working in a seated position for extended periods. Extensive finger use for typing and visual computer monitor use. Able to communicate effectively verbally and in writing, navigate the property/building efficiently as needed to fulfill job functions. Reasonable accommodations can be made for individuals with disabilities.

    Working Conditions:

    Work mainly indoors in a temperature-controlled setting with little to moderate noise levels. Occasional outdoor site visits may be necessary.
