    Duties & Responsibilities

    • Provide comprehensive administrative and secretarial support to attending physicians, including answering phones, taking messages, and directing or responding to inquiries related to departmental procedures, services, and programs.
    • Perform confidential and personalized administrative duties under the direction of the attending physician.
    • Manage patient calls, including scheduling appointments, responding to inquiries, relaying messages, and coordinating communication with physicians and departmental staff.
    • Schedule patients in MOSAIQ/ARIA (departmental electronic scheduling systems) for consultations, follow-ups, simulations, and brachytherapy procedures, as well as for external services such as diagnostic radiology. Initiate pre-authorization processes when required.
    • Complete hospital registration for new patients in Eagle, transfer demographic information into MOSAIQ/ARIA, and ensure departmental registration is completed prior to consultation visits.
    • Prepare and maintain new patient charts for consultations, ensuring all required documentation and records are complete.
    • Ensure all pertinent medical records, procedure reports, and study results are available for physician review during follow-up visits.
    • Obtain and verify demographic and financial information from patients and family members in a professional, respectful, and discreet manner.
    • Establish, maintain, and organize office records, files, and documentation in accordance with departmental standards.
    • Prepare correspondence and perform photocopying and document distribution as needed.
    • Provide coverage and support for other administrative staff within the department during absences.
    • Maintain reliable attendance and punctuality, consistently arriving to work on time.
    • Demonstrate a positive, professional demeanor while representing the department appropriately at all times.
    • Work independently, exercise sound judgment, and apply problem-solving skills as needed.
    • Effectively manage multiple tasks simultaneously and prioritize workload in a fast-paced environment.
    • Perform additional duties as assigned or as operational needs require.

    Skills & Qualifications

    • Three to five years of prior secretarial or administrative experience.
    • Demonstrated typing proficiency of at least 75 words per minute.
    • Proficiency in word-processing and presentation software.
    • Strong interpersonal, communication, and organizational skills, with the ability to interact effectively with individuals at all levels of the organization.

    Education

    • High School Diploma or equivalent required.
