    We are looking for someone to join Team Yuma as a Court Clerk I, working with the Yuma Municipal Court.

    The ideal candidate will perform clerical work in support of Court Operations and Court Compliance of the Yuma Municipal Court.


    Under basic supervision, this job classification provides a variety of administrative, customer service and clerical support for the Yuma Municipal Court (YMC); processes legal documents, reviews and enters data on secure databases, assists judges in the courtroom, and manages confidential court records.

    ESSENTIAL FUNCTIONS:

    Essential duties and responsibilities may include, but are not limited to, the following:


    • Performs a variety of technical and administrative functions; provides customer service, and makes appropriate decisions based on knowledge of City policies, YMC procedures, and standards of the Arizona Administrative Office of the Courts (AOC); duties may vary according to job assignment.
    • Performs a variety of clerical and technical functions for YMC with discretion and impartiality; delivers Municipal Court services, and manages legal system responsibilities and special assignments; supports courtroom-related services, and provides customer service at the public counter; follows YMC policies and procedures for file creation and maintenance, data entry, issuing and accepting documents and forms, accepting and receipting monies, and other specific Court duties and assignments.
    • Follows security protocols; completes all reports and paperwork in a timely manner, and in compliance with court administrative orders, regulations and standards; compiles and reviews data, and generates reports; updates, corrects, retrieves and releases YMC information according to procedures.
    • Accepts and files documents submitted to the court; sorts, indexes, and files materials according to established procedures; checks records and documents for completeness and accuracy; prepares and processes legal documents, and technical records according to established court policies and procedures.
    • Calendars Court activities; assists with the flow of court case information to and from judges and staff.
    • Responds to routine inquiries related to court procedures; researches technical inquiries, provides operational and informational responses, and resolves court within scope of authority.
    • Accepts paperwork for new and existing case files; enters confidential data into secure computer systems; collects, processes, and records funds received, performs related accounting tasks, and balances cash and receivables drawer.
    • Provides technical guidance, and interprets policies and procedures governing the confidentiality requirements and release of YMC records and information; answers questions and resolves issues.
    • Cross-trains in all YMC work methods, customer service policies, and document processing procedures.
    • Supports the relationship between the City and the general public by demonstrating courteous and cooperative behavior when interacting with citizens, visitors, and City staff; promotes the City goals and priorities, vision, values and the "Yuma Way", and complies with all City policies and procedures.
    • Maintains absolute confidentiality of work-related issues and City information; performs other duties as required or assigned.

    MINIMUM QUALIFICATIONS
    Education, Training and Experience Guidelines


    High School Diploma or GED equivalent; AND one year of clerical and computer experience, preferably in a justice agency or legal environment; OR an equivalent combination of education, training and experience.

    Must be able to type 33 wpm proficiently.


    Knowledge of:

    • City policies and procedures.
    • Federal regulations, and State of Arizona statutes, rules, administrative orders, and operational policies and procedures governing municipal courts and justice agency records management.
    • Principles and practices of confidential records management, and file maintenance.
    • Principles and practices of accounting, bookkeeping, case management, and jury management.
    • Specialized technology systems and software applications.
    • Safe work practices and security precautions in court environments.

    Skill in:

    • Explaining Federal and state rules and regulations, and City policies and procedures.
    • Preparing, filing, and distributing a wide variety of legal documents.
    • Working under pressure in a dynamic environment with changing priorities.
    • Dealing tactfully and courteously with those seeking information about court functions and activities.
    • Following verbal and written instructions and security procedures.
    • Establishing and maintaining effective working relationships with co-workers and court personnel.
    • Communicating effectively verbally and in writing.

    LICENSE AND CERTIFICATION REQUIREMENTS
    A valid Arizona State Driver's License is required. Arizona Committee on Judicial Education and Training (COJET) continuing training accreditation is required within six months of hire.


    PHYSICAL DEMANDS AND WORKING ENVIRONMENT
    Work is performed in a standard office environment, courtroom and ancillary court facilities. May occasionally be required to bend, reach, stoop, and lift objects.
