    Job Title: Administrative Assistant II

    Company: Medical Devices Division

    Description: The Administrative Assistant II plays a crucial role in providing primary administrative and overall support to two senior leaders within the Medical Devices division. This individual will be responsible for completing special assignments and projects that contribute to the efficient operations of the department. Interacting with key internal and external stakeholders requires a high level of professionalism.

    Responsibilities:

    • Assist with meeting arrangements, calendar management, travel bookings, expense reimbursements, invoice processing, and other administrative tasks.
    • Lead, organize, and manage all aspects of event planning for corporate offsite meetings.
    • Create, edit, review, proofread, and manage complex documents, spreadsheets, and presentations with proficiency in MS Excel and PowerPoint.
    • Submit invoices for payment processing.
    • Support activities related to the strategic plan and quarterly report process.
    • Provide general office support including mail distribution, answering calls, filing, catering, and ordering supplies.
    • Prepare and update reports, memos, and correspondence.
    • Execute special projects as assigned.
    • Apply high attention to detail, maintain organization, and ensure high-quality work product and timely completion.
    • Occasional travel required (10-15%, domestic & international).

    Required Qualifications:

    • High School diploma or GED required; Bachelor's degree preferred.
    • 3+ years of executive/senior leadership-level administrative experience.
    • Skilled in providing administrative support to top-level leaders.
    • Proficiency in MS Office, SAP Concur, MS SharePoint, with Salesforce experience as a plus.
    • Experience in managing and submitting Concur travel and expense reports.
    • Proficient in scheduling and reserving travel for executives via Concur.
    • Ability to handle multiple priorities with a sense of urgency.
    • Excellent interpersonal, written, and verbal communication skills.
    • Demonstrated ability to handle difficult situations tactfully and professionally.
    • Exercises high confidentiality and discretion with sensitive business data.
    • Strong project management skills with the ability to coordinate meetings and events.
    • Capable of working with individuals at all levels of the organization.
