Multiple successful applicants in this recruitment might be placed in a pool and assigned to temporary openings as required. Should a permanent position open within six months of the interview selection, the applicant could be moved into the role permanently.

JOB OVERVIEW - The Admissions Department serves as the vital link between the Department of Corrections and the prison. The Administrative Assistant for the Admissions Department will be responsible for comprehending and executing all procedures essential for the legal admission of an adult male offender into the Montana State Prison (MSP). This role will also contribute to managing offenders awaiting placement at the prison from other facilities, necessitating ongoing communication with external agencies. Moreover, the position will entail disseminating and validating the accuracy of records and legal documents, as well as assessing immediate PREA, medical, and/or mental health risks of the offenders.

Essential duties may include:

• Greet visitors, address inquiries, and direct them to the appropriate personnel based on their needs.
• Answer incoming calls, provide information to callers, take messages, and transfer calls to the right individuals.
• Handle incoming and outgoing mail, emails, and faxes.
• Operate office equipment like photocopiers, scanners, facsimile machines, and computers.
• Prepare responses to routine correspondence.
• Maintain and update databases.
• Proofread documents and records for accuracy.
• Schedule appointments, events, and meetings.
• Provide services to staff or customers.
• Compose and distribute meeting agendas, notes, reports, or take meeting minutes.

The hourly rate for this position will increase by $1.50 per hour or 4% (whichever is greater) starting July 1, 2024, in accordance with HB13.

QUALIFICATIONS -

• High school diploma
• One year of office support or clerical work experience.
• Equivalent combinations of education and experience may be accepted.
