    Job Description

    POSITION OVERVIEW

    The Transaction Coordinator is primarily responsible for providing tenant representation assistance as well as comprehensive administrative support to a senior industrial broker for his day-to-day book of business. If you're an excellent organizer and communicator, we'd like to meet you. This position will office in our Downtown Dallas HQ location.
    PRIMARY RESPONSIBILITIES

    • Assist senior broker with managing national tenant representation account
    • Help keep internal and external team organized throughout the deal process
    • Manage external broker relationships to ensure timely responses and delivery of materials needed
    • Complete market surveys, research, and data to deliver to client
    • Assist in coordinating market tours
    • Complete invoicing process upon deal completion
    • Organize documents upon deal completion
    • Stay on top of upcoming lease expirations, renewal timelines, and termination options
    • Coordinate internal and external meetings including but not limited to team meetings, all hands meetings, board meetings, off-site meetings, one-on-one meetings, etc
    • Attend market tours, site visits, and client meetings when appropriate and time permits
    • Coordinate all travel arrangements, including: processing travel requests and changes, confirming reservations, compiling directions and itineraries, etc
    • Handle expense reimbursements via internal reporting system
    • Manage calendars and work emails with attention to detail
    • Assemble print materials for clients and meetings
    • Make updates to contact database via internal CRM
    • Create contact vCards upon request
    • Coordinate the shipping and packaging of client gifts and other items

    Qualifications

    • Prior administrative experience in a corporate office environment
    • Strong verbal and written communication abilities; practical interpersonal skills
    • Strong attention to detail
    • Proficient in Microsoft Office (Outlook, Teams, Excel, Word, etc.) including the ability to coordinate and schedule using Outlook and Teams
    • Team-oriented with the ability to flex in support of timelines and deliverables
    • Strong customer focus, especially in delivering high-quality results
    • Highly organized with strong follow up skills and the ability to multitask
