Responsibilities:
OFFICE ADMINISTRATOR Supervises day to day office operations Conducts New Hire Orientations for employees Coordinates final termination of employees to ensure protection of intellectual properties Conducts Office safety inspections with Site Safety Manager With Site Safety Manager, evaluates ergonomics of employee workstations and coordination with Corporate Safety Officer/Facilities/HR as needed to resolve issues Interfaces with corporate departments to facilitate proper handling of paperwork (e
g:
Accounting, Human Resources, Risk Management, Safety, Facilities, IT, etc)Coordinates accounting issues with Accounting department Troubleshoots and resolves computer/software related issues using support from all areas of the company Ensures office has adequate hardware and software to complete work in an accurate and timely manner Performs maintenance of the Office Intranet site for up-to-date content Orders office supplies Attends and conducts weekly production planning meetings Coordinates work distribution with other offices/departments to meet deadlines Proactively obtains project management information for workload/resource scheduling Attends regional resource management meetings Performs document processing and proposal preparation services, as needed Examines completed work for quality control and compliance with company standards Assists engineers with routine office, project, and travel scheduling related tasks Maintains conference room/teaming room setup/cleanup for meetings Orders meals as needed for in-house and external meetings Plans and coordinates office and client events Coordinates with vendors for brown bags and meetings, as requested Maintains the common areas of the office (i
e:

lobby, breakroom, production room, empty offices) in a neat and tidy manner Works with building management to resolve facilities issues Assists the Office Manager with office related tasks Other required office administration duties as assigned by the Office Manager DOCUMENT PROCESSOR Supports office document processing needs and participates in the DP shared work pool when there is no local DP work Produces and formats specifications, technical and design memoranda, reports and general correspondence using company templates and formatting standards Proofreads completed work for accuracy of editing and formatting Converts scanned images or Excel files into MSWord documents Combines files (Excel, Word, Acrobat, etc.)


for production purposes Converts documents to Adobe PDF files Scans materials into PDF or uses Optical Character Recognition software to scan materials into MSWord Coordinates document reproduction and assembles documents for client delivery Manages files, physical and electronic Converts and cleans documents from other software applications Organizes and maintains directory structures and file naming Maintains knowledge of company supported software packages in order to provide maximum support Collaborates on marketing materials with other offices as directed Leads brown bag seminars for engineers on document processing training Qualifications:

High school diploma or equivalent Valid Class C Driver's License Strong verbal and written communication skills Excellent organizational and administrative skills Type 65 wpm Ability to work without direct supervision High level of critical thinking Professional experience handling confidential/sensitive issues Ability to exercise good judgment Prioritize as business/workload dictates and deadline changes Initiative, proactive attitude Ability to juggle multiple priorities and exercise judgment on order of completion of tasks.

Office 365 MS Word (styles, graphics, tables, outlines, table of contents, templates, macros)
Office 365 MS Excel (basic to intermediate level:
formatting, header/footer, file path name, etc.)

Adobe Acrobat/Bluebeam (converting files into PDF format; adding bookmarks and thumbnails, appending pages)Scanning & OCR Software (varies from office to office)Directory structures (organization and maintenance)Preferred Qualifications:

Bachelor's Degree Experience with Excel, Photoshop, and PowerPoint Previous experience with engineering professionals
