Job Description OVERVIEW Under general supervision from the County Commissioners, performs routine and complex administrative and clerical duties relating to the Commission Office.

This position is at-will working 10-20 hours per week.

ESSENTIAL RESPONSIBILITIES AND DUTIES:
Ensures the timely preparation, noticing, and upload of meeting agendas, summaries, supporting materials, and packets. Oversees the preparation and presentation of calendar items and public notices. Attends County Commission meetings to take minutes. Coordinates and oversees meeting logistics such as room preparation, food, materials, sound system operation, recording, online streaming, etc.

Drafts and prepares letters, reports, statements, memorandums, public notices, press releases, and other materials from copy, rough draft, and other sources.

Provides information and assistance to department heads, elected officials, County employees, and the public; handles complaints and refers concerns to appropriate persons.

Acts in a liaison capacity for the commission in establishing and maintaining critical and sensitive communications with public and private agencies, professionals, and other officials.

Arranges conferences, schedules, and meetings, relays instructions regarding policy and procedures revision; may represent the commission at conferences and meetings.

Coordinates and assists in the preparation of the department budget.

Performs administrative duties including, but not limited to, typing and editing documents, filing, taking minutes, greeting visitors, answering the telephone; and receiving, distributing, and prioritizing incoming mail.

Other duties as assigned.

EDUCATION, EXPERIENCE, AND CERTIFICATIONS:
High School Diploma (or equivalent), plus three (3) years of administrative support experience. An acceptable combination of education and experience may be considered.

NECESSARY KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of:
general organization and functions of county government; modern office practices and procedures; basic bookkeeping

Skill in:
composing documents; interpersonal communication; operating a personal computer and using various software applications including word processing, spreadsheets, databases, and email

Ability to:
maintain accurate records, files, and reports; coordinate multiple tasks efficiently; work with minimal supervision; compose documents using proper grammar and format; follow oral and written instructions; communicate effectively (orally and in writing); establish and maintain effective working relationships with those contacted in the course of work activities
