    *Temp to Hire HR Office Assistant**General Statement of Duties:

    To work in conjunction with other HR Staff to ensure the efficient and smooth operation of the Human Resources Department.

    Requires considerable judgement to work independently toward general results. Moderately difficult clerical work requiring an understanding of rules, procedures and policies. Must be flexible and skilled enough to accept and handle the varied and numerous personnel tasks of the Agency. Must be able to maintain confidentiality of staff personnel information and issues.

    *ESSENTIAL JOB FUNCTIONS:
    The following is a summary of the essential functions of this job.

    The incumbent may perform other duties, both major and minor, that are not mentioned below and essential functions may change from time to time.


    • Ensure protection from abuse, neglect, mistreatment and exploitation in regard to the health, safety, comfort, and well-being for the people we support by adhering to all related policies.
    • Act as main receptionist for the HR department, i.e., greet visitors, schedule appointments, and answer the telephone.
    • Update postings and forms holder in HR and keep current.
    • Work in conjunction with the HR Staff Development Assistant to print, sort and complete initial prescreening of applications and resumes to assure that all applicants meet the minimum qualifications and/or that applications are secured in addition to resumes for all viable candidates and forward sorted applications and resumes to either the Staff Development Specialist(s) or the Talent Acquisition Specialist.
    • Work in conjunction with the HR Staff Development Assistant and the HR Staff Development Specialist(s) to enter all applicant data into the Human Resources ABRA database in accordance with EEO requirements.
    • File and maintain all applications in accordance with EEO and OFCCP regulations.
    • In conjunction with the HR Staff Development Assistant and the HR Staff Development Specialist(s), schedule interviews with qualified applicants.
    • In conjunction with the HR Staff Development Assistant and the HR Staff Development Specialist(s) schedule or complete the following: work skills assessment, drug testing, Mantoux, and CAPA, secure signature on the OPWDD required Conditional Offer of Employment, OPWDD/OMH fingerprinting, DMV license check and exclusion checks as applicable. Assure all scheduled appointments are documented appropriately to include the HR Calendar(s).
    • In conjunction with the HR Staff complete the pre-hire reference checks.
    • In conjunction with the HR Staff adhere to the new hire process to include scheduling the appointments for new hire paperwork and completing the process with new hires.
    • Maintain all HR Department calendars and keep current.
    • Participate in the coverage rotation for the Agency front desk Receptionist as necessary.
    • Pick up and drop off mail for postal and intra-department mail delivery.
    • Open and organize for distribution all in-coming mail; process out-going mail.
    • Under direction of HR Generalist, order office and department supplies.
    • Schedule, complete, process, and maintain records of all outside conferences and training for HR department personnel.
    • Handle various clerical duties for the Department , filing and data input, process bulk mailings.
    • Work in conjunction with the HR Staff to maintain up-to-date personnel filing system to include records, reports, contractual agreements, and other data.
    • Operate office machines as needed i.e., fax, scanner, copier.
    • Facilitate and track other employee programs as needed i.e., BJ authorizations, Verizon discounts, etc...
    • Adhere to all other agency policies and procedures
    • Adhere to the Agency's Confidentiality Policy while also remaining cognizant of and adhering to confidentiality required of all personnel in Human Resources.
    • Promote and adhere to all elements of the Agency's Corporate Compliance and HIPAA policies.
    • Maintain and promote confidentiality in accordance with Agency policy.
    • Comply with all aspects of the Agency's Safety Policy.
    • Serve on Agency committees as assigned.
    • Attend meetings as dictated by your job responsibilities and/or as assigned.
    • Attend and complete all mandatory training.
    • Adhere to scheduled hours and submit completed timesheets to supervisor on time each payroll period.
    *Qualifications:
    The following qualifications are the minimum requirements necessary to perform the essential functions of the job.

    *Required Knowledge, Skills and Abilities
    • Ability to work independently and function as a team member with a wide range of people.
    • Ability to work flexible schedules which may include evenings and weekends.
    • Ability to communicate effectively.
    • Working knowledge of Human Resources policies and practical ability to work effectively under the direction of the HR Generalist and other appropriate staff.
    • Working knowledge of all appropriate office skills and the ability to handle numerous tasks at the same time.
    • Ability to become proficient using a variety of business software, including Microsoft Office, Human Resources ABRA database; and hardware including ID Badge .
    • Must possess and maintain a high level of accuracy in data entry and filing.
    • Requires sitting for long periods of time.
    • Must have manual dexterity and visual acuity to keyboard, and must be able to hear and orally communicate on the telephone.
    • Ability to represent the Agency and Human Resources in a professional manner while interacting with outside entities and Agency personnel.
    *Education and Experience*Any combination equivalent to education and experience that provides the required knowledge and skills.

    High School diploma and specialized training or experience with computer software applications and data processing.


    • 1 year experience in Human Resources or Business Office environment.
    Full Time, Monday - Friday, 8:30am-4:00pm
