Job Overview
We are seeking a detail-oriented and proactive Administrative Assistant to support our office operations. The ideal candidate will possess strong organizational skills, excellent communication abilities, and proficiency with office management tools. Duties
- Manage front desk responsibilities, including greeting visitors and handling inquiries with professionalism and courtesy.
- Operate multi-line phone systems efficiently, directing calls and providing information as needed.
- Perform data entry and maintain accurate filing systems for client records and administrative documents.
- Utilize Microsoft Office Suite and Google Workspace to prepare reports, correspondence, and scheduling materials.
- Assist with calendar management, scheduling appointments, and coordinating meetings for staff members.
- Support bookkeeping tasks using QuickBooks or similar accounting software to ensure accurate financial records.
- Provide exceptional customer service by addressing questions from clients, partners, and team members promptly and effectively.
Skills
- Proven experience in office management or administrative roles within a professional setting.
- Strong computer literacy, including proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace tools.
- Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Effective phone etiquette and experience managing multi-line phone systems.
- Bilingual abilities are highly desirable to serve diverse client populations effectively.
- Clerical experience including proofreading, data entry, filing, and document management.
- Knowledge of office procedures such as calendar management, time management techniques, and basic bookkeeping practices.
- Previous experience as a receptionist or personal assistant is advantageous; familiarity with medical or dental receptionist duties is a plus.
