    Job Summary:

    Atlas is currently seeking a Document Control Manager to work on our existing CM1632 (Culver Line) project in Brooklyn who has prior Asite experience working on NY MTA projects with the Asite Construction Document Management tool.

    Responsibilities include but are not limited to:

    • Establish procedural framework for identifying, collecting, distributing, and filing the controlled documents for the project. This involves writing and maintaining document control procedures and participating in the development and roll-out of document control tools. Also includes internal and external to project participants distribution of correspondence, technical submittals, project reports, Requests for Information, and contract plans and specifications.
    • Ensure the information and management control system is implemented in compliance with the Client's standard; and is updated to reflect revisions to those standards. Maintain awareness of Client and/or project initiatives that may impact the control or distribution of information on the project.
    • Ensure the Project Team members are provided with adequate training and support to enable them to successfully use the procedure and systems in use by the project and/or client. Proactively conduct "spot audits" and "over-the-shoulder-reviews" of project teams to facilitate their understanding of and enhance their compliance to Document Controls procedures.
    • Assign role-based permissions.
    • Provide quality assurance/quality control (QA/QC) audits of the hardcopy files and electronic Document Control files. Check documents for accuracy of metadata information prior to processing in the project's electronic document filing system(s).
    • Assist with policy discussions, including email recording and retention, video recording and retention, etc.
    • Secure documents and records to protect from loss, damage, or deterioration, maintained in a system readily retrievable and available for use by authorized persons. Preserving programmatic and project records for all project phases.
    • Manage the handling, storage, and distribution of Protected Information.
    • Provide an interface to IT support for Document Control issues, which include process enhancements to existing software, developing recommendations for new hardware and/or software that may benefit the Document Control environment.

    Minimum Requirements:

    • Bachelor's degree in Engineering, Architecture, Construction Management or Business with 4 years related experience; in lieu of degree 5 years of experience in document controls and/or technical administrative support on a transit construction project required.

    Technical Requirements:

    • Experience with large-scale document control software is required; Experience in Asite document management software is mandatory with other experience as optional for SharePoint, eBuilder, Documentum, and ProjectWise.
    • Experience with Microsoft Office (Outlook, Word, Excel and Access).

    • High-level of discretion when managing confidential information.
    • Professional, self-motivated, team player with strong collaboration skills.
    • Strong interpersonal and written communication skills with the ability to contribute effectively as part of a team involving staff, clients, and outside agencies.
    • Strong problem-solving, workload management, and organizational skills with limited supervision.

    Compensation:

    $35 - $40 hourly

    The expected salary range for the position is displayed in accordance with the state's law. Final agreed upon compensation is based upon individual qualifications and experience.
