    Responsibilities:

    Customer Service Work in Corporate meeting center, answer phones, float to cover receptionist and other areas. Check reservations, contacting the IT department if any issues with audio/visual, create daily schedule of rooms booked. Head off any conflicts with booking of rooms.


    Corporate Meeting Center Management:

    Coordinate and schedule meetings, conferences, and events in the corporate meeting center.

    Ensure meeting rooms are properly set up, equipped, and prepared for each event.

    Manage reservations and inquiries regarding meeting center availability.

    Maintain meeting center facilities, ensuring cleanliness and functionality at all times.

    Coordinate catering services and other logistical arrangements for meetings and events.


    Administrative Support:

    Answer and direct incoming calls, providing courteous and professional assistance.

    Greet and assist visitors, ensuring a positive experience upon arrival.

    Handle incoming and outgoing mail, packages, and deliveries.

    Maintain office supplies inventory and place orders as needed.

    Assist with various administrative tasks, including data entry, filing, and document preparation.


    Receptionist Coverage:

    Float to cover the reception desk during breaks, lunches, or absences.

    Welcome and direct visitors, clients, and employees.

    Manage access control systems and visitor badges.

    Handle inquiries and provide information about the company and its services.

    Ensure the reception area is tidy and presentable at all times.


    Communication and Coordination:

    Communicate effectively with internal teams and external stakeholders regarding meeting center logistics.

    Collaborate with facilities management and IT departments to address any issues or requests related to the meeting center.

    Provide timely updates and reports on meeting center usage and activities.


    Qualifications:

    Must be 21 years or older.

    High school diploma or equivalent; associate or bachelor's degree preferred.

    Friendly, outgoing, good communication skills both speaking and handwritten

    Experience as a Receptionist and Administration coordinator and other areas.

    Proven experience in administrative support or office coordination roles.

    Excellent organizational and time management skills.

    Strong interpersonal skills with the ability to interact professionally with individuals at all levels.

    Proficiency in Microsoft Office suite (Word, Excel, Outlook).

    Ability to multitask and prioritize tasks effectively in a dynamic environment.

    Attention to detail and accuracy in all work tasks.

    Flexibility to adapt to changing priorities and responsibilities.

    Previous experience in event coordination or facilities management is a plus.


    Prior Helpful Experience May Include:

    Administration assistance, Receptionist, Corporate meeting coordination, customer service.
