    Overhill Farms is a leading custom manufacturer of high quality prepared frozen foods, serving customers in the branded retail, private label and foodservice sectors. We provide a one-stop solution that offers new product development or precise replication of existing recipes as well as product manufacturing and packaging. Our custom product lines include poultry, meat and fish specialties, pastas, soups, sauces, certified organic and vegetarian offerings. These can be prepared as entrées, plated meals or bulk-packed meal components.

    POSITION SUMMARY:
    The Quality Systems Specialist is responsible for assisting in the management of supplier onboarding, document approvals, and data accuracy within the Supplier Management platform, ensuring compliance with food safety and quality standards. They collaborate with various teams to resolve discrepancies and ensure the accuracy of data related to ingredients, packaging, and certifications.
    The Quality Systems will provide technical and administrative support to Quality, Commercialization, and Operations, including but not limited to ingredient evaluation, troubleshooting, change control support, written communications, supplier performance trend analysis, and audits as needed.
    ESSENTIAL DUTIES & RESPONSIBILITIES include the following and other duties as assigned:

    • Supplier Onboarding and Documentation:
    Qualifying and managing the process of onboarding new suppliers and ensuring all required documentation is complete and current within the Supplier Management platform.

    • Document Review and Approvals:
    Reviewing, approving, or requesting revisions to documentation submitted by suppliers, based on established FSQA criteria and regulatory standards.

    • Data Management:
    Maintaining accurate and up-to-date information within the Supplier Management platform, including allergen information, nutritional data, and supplier certifications, and championing the change management process to ensure ingredients and suppliers are formally documented and approved.

    • Cross-Functional Collaboration:
    Working with Procurement, Culinary, New Product Development, and Operations to resolve issues related to supplier documentation and discrepancies.

    • Deviation Management:
    Responding to and investigating supplier-related deviations and rejections, collaborating with relevant teams to identify root causes and implement corrective actions.

    • Training and Support:
    Providing training and support to users on the Supplier Management platform functionality, workflows, and best practices.

    • Auditing and Compliance:
    Ensuring compliance with relevant regulations and standards through the review and audit of supplier documentation within the Supplier Management platform.
    OTHER DUTIES AND RESPONSIBILITIES:

    • Support Mock Recall and Emergency exercise

    • Support Product Spec Coordinator with the product specification creation and change control processes, including product assembly and batch formulation instructions.

    • Support Product Spec Coordinator on Import/Export needs, prepare export documents, and coordinate export with the USDA.

    • Carry out duties and participate in projects as assigned by the direct supervisor and the Food Safety and Quality department.
    SKILLS:

    • Experience with Supplier Management Platforms:
    Experience with Supplier Management platforms, such as Tracegains and FoodLogiQ, is highly desirable.

    • Knowledge of Food Safety and Quality:
    A strong understanding of food safety principles, regulatory requirements (FSMA, FDA, USDA), and quality management systems (SQF, HACCP).

    • Data Management and Analysis:
    Ability to manage, analyze, and interpret data related to supplier information and quality metrics.

    • Communication, Collaboration, Problem-Solving, and Analytical Skills:
    Excellent communication and interpersonal skills for collaborating with internal and external stakeholders and a strong ability to identify and resolve issues related to supplier quality and the Supplier Management Platform.

    • Attention to Detail:
    Meticulous attention to detail is crucial for maintaining data accuracy and ensuring compliance.
    REQUIREMENTS:
    • Bachelor's degree in food science, Chemistry, Biology, and or related degrees; or 2+ years of food manufacturing experience
    • 3+ year's experience working in a USDA plant and FSQ setting
    • 3+ year's experience with supplier documentation and supplier audits
    • Proficiency in Microsoft Office, PowerPoint, and Excel applications
    • Organized time manager with demonstrated ability to handle multiple tasks and responsibilities, and able to deliver expectations and results consistently.
    • 2+ year's experience with Supplier Management platforms, such as Tracegains and FoodLogiQ - Preferred
    • A strong understanding of food safety principles, regulatory requirements (FSMA, FDA, USDA) and quality management system (SQF and HACCP).
    • Ability to manage, analyze, and interpret data related to supplier information and quality metrics.
    PHYSICAL/MENTAL DEMANDS AND WORK ENVIRONMENT
    The employee will work in an office environment during regular hours. The incumbent may also be required to travel and to work extended hours to meet deadlines. While performing job responsibilities, the employee is required to sit for prolonged periods and use their hands and fingers while typing. Vision abilities required by this job include close vision to the screen.
