    CLASS TITLE:

    DEPUTY CLERK I

    CLERK OF COURT

    GENERAL DESCRIPTION OF CLASS


    The purpose of the class is to perform routine-to-complex administrative and clerical duties in support of the efficient and effective operations of Civil Criminal Process, or Family Court; to provide professional and courteous customer service at all times, and to perform related work as required.

    The class works within a general outline of work to be performed, and develops work methods and sequences under general supervision.

    Supervised by Chief Deputy Clerk, Criminal Court Supervisor, and Deputy Family Court Administrator.


    ESSENTIAL TASKS
    The tasks listed below are those that represent the majority of the time spent working in this class. Management may assign additional tasks related to the type of work of the class as necessary.

    Receives, reviews and enters court documents and other case information into computerized case management system.

    Enters judgments from Circuit, Family, and Magistrate courts.

    Prepares court rosters, jury lists, and/or dockets.

    Establishes and maintains case files.

    Gathers documents for and prepares case files for court.


    Prepares, discharges, and processes expungements and transfers enters Family Court orders, including but not limited to custody, alimony modifications, child support and juvenile.

    Processes changes of venue and name changes.


    Receives and reviews applications to secure the services of the County's Public Defender and determines eligibility for Public Defender representation based on established criteria.

    Copies and processes all Civil, Criminal and Family court orders; forwards orders to attorneys.

    Assists in conducting Master-in-Equity sales.

    Responsible for ensuring proper disposition of court files.


    Processes, prepares, types, files, submits and/or transmits a variety of records, reports and correspondence associated with court / division operations.


    Assists the public in retrieving recorded information; researches department files, court/legal records, database records, electronic data sources, Internet sites and other sources for requested information as needed.

    Provides instruction and leadership of lower-level clerical staff as assigned.


    Assists in ensuring that all staff provide professional and courteous customer service at all times; provides information and assistance regarding division policies and procedures; responds to inquiries, requests, concerns and complaints in areas of responsibility.


    Answers the telephone; provides accurate information and assistance to callers and/or forwards calls to appropriate personnel; takes messages as necessary; greets and assists office visitors.


    Maintains office filing systems; prepares and organizes files; shreds confidential or obsolete documents as necessary; releases records to authorized individuals in accordance with established guidelines.


    In Family Court area, acts as evidence custodian - receives, processes, and maintains security over evidence, ensuring compliance with all applicable policies, procedures, laws, and regulations; transfers evidence to appropriate personnel in Clerk's office for storage.


    Performs general administrative / clerical duties as required, including but not limited to copying and filing documents, entering and retrieving computer data, sending and receiving faxes, processing mail, assembling materials, preparing spreadsheets, etc.

    Performs duties of co-workers as necessary.

    Receives and responds to inquiries, requests for assistance and complaints in areas of responsibility.

    Attends training, meetings, seminars and/or workshops as required to enhance job knowledge and skills.

    DATA INVOLVEMENT:


    Requires gathering, organizing, analyzing, examining or evaluating data or information and may prescribe action based on such data or information.


    PEOPLE INVOLVEMENT:


    Requires giving information, guidance or assistance to people to directly facilitate task accomplishment; may give directions or assignments to helpers or assistants.


    INVOLVEMENT WITH THINGS:


    Requires handling or using machines, tools or equipment requiring brief instruction or experience, such as computers for data entry, fax machines, copiers, telephones or similar equipment; may service office machines, including adding paper and changing toner.

    Must be capable of accurately using computers and software programs designed for the court system.


    COGNITIVE REQUIREMENTS

    REASONING REQUIREMENTS:
    Requires performing semi-skilled work involving set procedures and rules but with frequent problems. Must deal effectively with unpleasant clients and situations on a daily basis.


    MATHEMATICAL REQUIREMENTS:
    Requires using addition and subtraction, multiplication and division, and/or calculating ratios, rates and percentages.


    LANGUAGE REQUIREMENTS:


    Requires reading technical instructions, procedures, manuals and charts to solve practical problems; composing routine reports and specialized reports, forms and business letters with proper format; speaking compound sentences using normal grammar and word form.


    MENTAL REQUIREMENTS:


    Requires doing clerical, manual or technical tasks requiring a wide range of procedures and requiring intensive understanding of a restricted field or complete familiarity with the functions of a unit or small division of an operating agency; requires normal attention with short periods of concentration for accurate results or occasional exposure to unusual pressure.

    VOCATIONAL/EDUCATIONAL AND EXPERIENCE PREPARATION


    VOCATIONAL/EDUCATIONAL PREPARATION:


    Requires Associate's degree, vocational technical degree or specialized training that is equivalent to satisfactory completion of two years of college education with emphasis in paralegal studies, accounting, business or a closely related field or any combination of acceptable education and experience.


    SPECIAL CERTIFICATIONS AND LICENSES:
    Must possess a valid state driver's license.

    Must possess Notary Public certification.


    EXPERIENCE REQUIREMENTS:
    Requires three years and up to and including five years of office, paralegal or court system experience.


    AMERICANS WITH DISABILITIES ACT REQUIREMENTS

    PHYSICAL AND DEXTERITY REQUIREMENTS:


    Requires sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a recurring basis or routine keyboard operations.

    Must be able to lift up to 50 pounds regularly.


    ENVIRONMENTAL HAZARDS:
    The job risks exposure to no known environmental hazards. Climb step stool/ladder daily.


    SENSORY REQUIREMENTS:
    The job requires normal visual acuity and field of vision, hearing and speaking ability, and color perception.
