    The Opportunity

    As the Director of Intake for ConvenientMD, you will play a pivotal role in shaping the patient's experience from the moment they walk through our clinic doors. This position will report directly to the President of Urgent Care on the Operations team, where you will lead a dynamic team and contribute to the strategic vision of the company.

    Your Impact
    • Team Leadership: Build, lead, and inspire a team of Medical Receptionists and District Educators to deliver exceptional patient experiences.
      • Manage five District Educators and will work closely with clinic Practice Managers to train, manage, and evaluate the Medical Receptionist role across the entire organization.
      • Provide guidance, coaching, and professional development opportunities to ensure team members reach their full potential.
      • Foster a positive and collaborative work environment.
    • Day-to-Day Operations: Oversee the day-to-day operations of the intake process, ensuring smooth patient flow and efficient registration procedures.
      • Implement and optimize intake protocols to enhance efficiency and reduce patient wait times.
    • Collaboration with Revenue Cycle Management: Work closely with the Revenue Cycle Management team to ensure the implementation and adherence to appropriate financial policies during the intake process.
      • Collaborate on strategies to optimize the revenue cycle, including accurate insurance verification, co-payment collection, and other financial workflows and processes which contribute to the patient intake experience.
      • Provide insight and feedback to contribute to the continuous improvement of financial processes, aiming for efficiency and compliance with industry standards.
    • Patient Experience Enhancement: Develop and implement strategies to enhance the overall patient experience during the patient intake process.
      • Gather and analyze patient feedback and reviews to identify areas for improvement and implement necessary changes.
    • Technology Integration: Collaborate with IT and other relevant departments to implement and or integrate technology solutions that streamline the intake process and improve data accuracy.
    • Training and Education: Develop and deliver training programs for Medical Receptionists to ensure compliance, consistency, accuracy, and adherence to company policies and procedures.
    • Cross-Collaboration with Practice Managers: Collaborate with clinic Practice Managers to ensure seamless communication and coordination between intake processes and overall clinic operations.
    • Strategic Initiatives: Collaborate with senior leadership to identify and implement strategic initiatives aimed at improving the overall patient intake experience.
      • Drive continuous improvement in intake processes and workflows based on current industry best practices and emerging trends.
    • Regulatory Compliance: Stay abreast of industry regulations and ensure that intake processes comply with all relevant healthcare regulations.
    Who You Are
    • Bachelor's degree in healthcare administration, business, or a related field.
    • At least two years working in a medical billing environment.
    • 1-3 years of demonstrated success in leading, mentoring, and growing teams.
    • Knowledge and understanding of accounts receivable and best practices to collect on patient accounts.
    • Proven leadership experience in healthcare administration or a similar role.
    • Strong understanding of healthcare operations, patient flow, and regulatory requirements.
    • Excellent communication, interpersonal, and organizational skills.
    • Ability to develop and execute strategic initiatives to improve patient experiences.
    • Familiarity with healthcare technology and the ability to leverage technology to improve processes.
    • Demonstrated ability to lead and motivate a diverse team.
    • Ability to travel to any of our locations as needed (likely 60-70% of the time in first 6-12 months and as needed after that) in Maine, Massachusetts, and New Hampshire.
