- Event Manager will assist in phones if Sales Coordinator is on the line
- Checking daily/weekly to ensure all event notes in Open Table have been updated & head counts are accurate
- Blocking Open Table for events & buyouts; Checking each shift for accurate scheduling & setting last seating times Tripleseat
- Assist with plugging in leads when answering phone
- Running monthly reports; Canceled leads, Lead source, Stats for event sizes, End of month financial report
- Filing closed BEOs; Scanning receipts and saving to Tripleseat
- Ensuring all contracts/BEOs/invoices are saved in respective folders in Sharepoint/Tripleseat for events
- Scanning business cards
- Assisting to send client gifts monthly
- Assisting in the updates of proposals/floor plans and organization of all sales files in Sharepoint
- Create event checklists & floor plans; Ensure all items on checklists are completed prior to event, ensure floor plans and timelines are shared with Chefs/managers for scheduling
- Handling rentals
- In charge of dcor & easels
- When needed, assist as go to for clients during events
- Formatting logos for event
- Creating menus for events
- Closing out BEOs in Tripleseat, ensuring financials match
- Taking care of any edits or fixes for Micros/Tripleseat
- Preparing weekly BEO packets for management teams
- Making sure all BEOs are posted for the week/following week; Highlighting important notes and being an extra pair of eyes, ensuring that any changes get reprinted, reposted, and communicated to the team
- Minimum 2 years of hospitality group sales, administrative assistant, promotional marketing, advertising, and/or public relations preferred
- Excellent verbal and written communication skills
- Technical skill set to drive the business toward success
- Strong organizational and priority setting skills
- Advanced knowledge of Microsoft products, Open Table software and company identified software including sales programs (i.e Tripleseat) a plus
