    Description


    50 Eggs Hospitality Group is looking for an experienced Event Sales Coordinator to support their two high-volume restaurant event programs in Miami.

    Minimum 2 years of hospitality event sales preferred with food and beverage background. Knowledge of Tripleseat booking software preferred (will train). Strong organizational and priority setting.

    Ability to work independently while ensuring that managers and/or clients possess the pertinent information for the execution of a successful event or promotion.

    Ability to communicate effectively with co-workers and clients. Hourly position with benefits. Bi-lingual a plus.

    Job purpose
    This individual will support and assist the Event Sales Manager

    Miami by handling administrative tasks and being an on-site coordinator for daily events, as needed.
    **Duties and Responsibilities

    Miami**Phones

    • Answering Ring Central for the department
    • Distribute calls to Event Manager
    • Event Manager will assist in phones if Sales Coordinator is on the line
    Open Table

    • Checking daily/weekly to ensure all event notes in Open Table have been updated & head counts are accurate
    • Blocking Open Table for events & buyouts; Checking each shift for accurate scheduling & setting last seating times Tripleseat
    • Assist with plugging in leads when answering phone
    • Running monthly reports; Canceled leads, Lead source, Stats for event sizes, End of month financial report
    Administrative

    • Filing closed BEOs; Scanning receipts and saving to Tripleseat
    • Ensuring all contracts/BEOs/invoices are saved in respective folders in Sharepoint/Tripleseat for events
    • Scanning business cards
    • Assisting to send client gifts monthly
    • Assisting in the updates of proposals/floor plans and organization of all sales files in Sharepoint
    Events

    • Create event checklists & floor plans; Ensure all items on checklists are completed prior to event, ensure floor plans and timelines are shared with Chefs/managers for scheduling
    • Handling rentals
    ensuring rentals are ordered for event, ensuring theyve arrived & confirming with staff location for rental pickup

    • In charge of dcor & easels
    ensuring checklists are completed and staff is getting them signed and dcor is returned to the proper place

    • When needed, assist as go to for clients during events
    being aware of head count, communicating with staff/chefs/managers, ensuring food and beverages are on time

    • Formatting logos for event
    • Creating menus for events
    designing and printing all personalized menus needed

    BEOS

    • Closing out BEOs in Tripleseat, ensuring financials match
    • Taking care of any edits or fixes for Micros/Tripleseat
    • Preparing weekly BEO packets for management teams
    • Making sure all BEOs are posted for the week/following week; Highlighting important notes and being an extra pair of eyes, ensuring that any changes get reprinted, reposted, and communicated to the team

    Qualifications

    • Minimum 2 years of hospitality group sales, administrative assistant, promotional marketing, advertising, and/or public relations preferred
    • Excellent verbal and written communication skills
    • Technical skill set to drive the business toward success
    • Strong organizational and priority setting skills
    • Advanced knowledge of Microsoft products, Open Table software and company identified software including sales programs (i.e Tripleseat) a plus
    • Ability to work independently while ensuring that managers and/or clients possess the pertinent information for the execution of a successful event or promotion.

    • Ability to communicate effectively with co-workers and clients
    • Able to work flexible hours necessary if needed

    Physical requirements
    Must be able to stand and walk for long periods at a time during events.
