- Partner with the Vice President & internal and external management teams to devise and execute high-level strategies for specific project objectives and initiatives across multiple departments.
- Advocate for projects, leading, coordinating, and aligning project resources while maintaining confidentiality and discretion.
- Support and/or oversee project meetings, manage change and conflict, and develop resource planning for efficient project workload management.
- Assist in various departments, including Human Resources, IT, operations, customer service, legal, risk management, real estate, and facilities.
- Maintain organized project plans, goal-tracking documents, and related materials.
- Coordinate and schedule meetingsc internally and with external parties.
- Prepare reports and presentations as required.
- Review and edit basic legal documents, collaborating with the Vice President, Administration in establishing company legal documents and liaising with external law firms.
- Implement a systematic approach to track the progress of legal documents and ensure visibility to relevant company personnel.
- Serve as the primary contact for all insurance matters, overseeing claims, certificates of insurance, and leading the annual insurance policy renewal process.
- Collaborate with EH&S Manager to ensure regulatory compliance.
- Spearhead the establishment of a comprehensive company-wide training program, working with departments to identify and address training needs.
- Oversee security program in conjunction with EH&S Manager and VP.
- Act as the primary corporate contact for facility-related matters and vendors.
- Directly manage vendor relationships for California buildings and provide support for all other company locations.
- Bachelor's degree in business administration or a relevant field.
- 5-7 years of experience in business or project management.
- Strong attention to detail and organizational skills.
- Excellent verbal and written communication skills.
- Professional demeanor and attitude.
- Advanced proficiency in Microsoft Office.
- Knowledge of project management processes (Six Sigma and Project Management Professional certifications are a plus).
