Project Title:
Build a Pro-Level eBay Profit & Analytics Spreadsheet (Google Sheets + Excel)
Overview
I need a highly accurate, professional spreadsheet system to manage and analyze my eBay reselling business. This is not a basic sales tracker.
The system must calculate true profit per item, track all fees and costs, reconcile with eBay payouts, and provide clear analytics so I can make better buying and pricing decisions.
Deliverables- Google Sheets version (fully functional, shareable template link)
- Excel (.xlsx) version with matching formulas and structure
- Demo version with realistic sample data
- Blank version for ongoing use
- Instructions tab explaining how to use the system
- Item-Level Profit Tracker (Main Sheet)
Required fields:
- Date listed
- Date sold
- Order ID or SKU
- Item name
- Category
- Condition
- Sale price
- Buyer paid shipping
- Sales tax collected (for reference only, not counted as revenue)
- Shipping label cost
- Cost of goods (COGS)
- Supplies cost (packaging, etc.)
- Notes (returns, issues, etc.)
Automatic calculations:
- Total order amount (for reference)
- Total fees
- Net payout (must match eBay order earnings)
- True profit (net payout minus all costs)
- Profit margin percentage
- ROI percentage
- Days to sell
- Payout Reconciliation
Must include:
- Payout date
- Payout amount received
- Linked total from itemlevel sales
- Difference (should be zero when correct)
- Ability to mark payouts as reconciled
- Inventory Tracker (Unsold Items)
Fields:
- Item name
- Purchase date
- Cost
- Listing price
- Days listed
- Source
Must include:
- Total inventory cost
- Visibility into aging inventory
- Pricing and Fee Estimator
Inputs:
- Sale price
- Buyer shipping charged
- Estimated shipping cost
- Estimated eBay fee percentage
Outputs:
- Estimated net payout
- Estimated profit
- Suggested minimum price for target profit or ROI
- Dashboard and Analytics
Must include:
- Total revenue (excluding sales tax)
- Total fees
- Total shipping costs
- Total cost of goods
- Net profit
- Profit margin percentage
- ROI percentage
- Average profit per item
- Monthly performance breakdown
- Performance by category
- Average days to sell
- Returns and Refund Handling
The system must properly account for:
- Full refunds
- Partial refunds
- Return shipping costs
Design and Usability Requirements
- Clean, professional layout
- Clearly marked input cells
- Protected formula cells where appropriate
- Data validation dropdowns where useful
- Easy to use on a daily basis
- Works in both Google Sheets and Excel
- Avoid overcomplicated scripts or macros unless necessary
The system must be accurate enough that when I input real eBay transaction data, the calculated net payout matches eBay's order earnings and totals align with actual payouts after reconciliation.
Optional (nice to have)- Importfriendly format for eBay reports
- Clean charts that update automatically
- Simple weekly or monthly goal tracking
- Examples of similar spreadsheet or financial tracking systems you have built
- Confirmation you can deliver both Google Sheets and Excel versions
- Your estimated timeline and fixed price
