    Job DescriptionDescriptionThe Development Coordinator, Gift Planning will support Children's National Hospital Foundation expanding Gift Planning fundraising program by coordinating fundraising and marketing efforts for Guardian Society members and prospects.

    The Coordinator, Gift Planning reports to the Senior Director of Gift Planning and supports a 3-member gift planning team.

    Tracks and supports the fulfillment of requests for planned giving leads, assists with the cultivation of existing legacy society members, and manages the estate administration of planned gifts, including bequests and gift annuities.

    Responsible for the coordination of all planned giving events, meetings, mailings, and acknowledgements and also possesses the technical acumen to support data tracking, entry and reporting from Raiser's Edge.

    Includes ongoing personal cultivation with various stakeholders including a mature and loyal donor segment, executors, trust officers, and attorneys. The Coordinator also assists the Sr. Associate Director of Gift Planning with executing initiatives to help grow, and market, the planned giving program.

    Very organized and detail orientedProficiency in Microsoft Word, Excel, and Powerpoint required; Proficiency in Raisers Edge or other database experienceMust be a critical thinker, with strong problem-solving skillsFunctional AccountabilitiesEstate and Gift AdministrationResponsible for managing estate expectancies, including ongoing outreach to law firms, trust officers, executors, and advisors to estimate distribution timelines and gift amounts.

    Coordinates approvals with internal legal and finance departments.
    Creates and maintains all Raiser Edge estate records with appropriate coding, actions, and gift information.
    Prepares gift transmittals and collaborate with gift entry team members to ensure accurate coding.

    Prepares correspondence of introductory, thank you, and condolence letters, and represents the organization by telephone with law offices, family members, and estate executors.

    Researches deceased and suspected deceased donors, and updates database and notify internal/external stakeholders, as necessary.

    Accountable for the administration of the gift annuity program and serves as point of contact for the outside vendor responsible for gift annuity financial administration.

    Acts as liaison between finance department and vendor.

    Coordinates the process of issuing gift annuity contracts to donors and collaborates with internal operations department to ensure gift annuity state reporting and registration requirements are being met.

    Marketing and StewardshipAssists with the implementation of multi-channel marketing strategies.

    In collaboration with internal marketing team and external vendor, develops the production timeline and schedule of all marketing (print & online).

    Manages deadlines and progress across the team to ensure that the projects are delivered on time and within budget. Tracks the results of marketing/lead generation.

    Facilitates stewardship activities for Guardian Society members, including making thank you calls, sending out personalized notes and reporting on donor activity for team for counsel on further engagement.

    Compiles materials for new legacy members and for responding to prospect and donor inquiries with appropriate information on bequests, stock donations, and other legacy gifts.

    Collaborates with the events department to coordinate all online and in-person events.

    Database Entry and ExpertiseMaintains all required Raisers Edge coding necessary to track all outbound marketing efforts and inbound responses, including the actions required to track new gift notifications and follow up correspondence.

    Generates from Raisers Edge routine and ad hoc donor data requests to support marketing program, internal reporting and analysis, and other data/list requests.

    Performs monthly (or more frequent) quality control monitoring to ensure donor data is updated and accurate and works with our operations/data teams to ensure that all planned gifts are appropriately processed.

    Identifies ongoing database needs and update and/or elevate functionality issues to Director.
    Administrative SupportSupports the Senior Director, Gift Planning to achieve strategic and fundraising goals, as well as campaign goals/objectives.
    Provides administrative support for the planned giving program, including scheduling, travel assistance and record keeping for team members.
    Monitors planned giving budget. Tracks expenses against budget and ensure payment of invoices and expense reports are processed in timely manner.
    Drafts strategic fundraising materials, briefings, and presentations based on independently gathered information.

    Anticipates and responds to needs and inquiries from donors, prospects and the team; is pro-active in assisting and follows up until needs are met.

    Coordinates sections of large projects or entire small projects, independently.
    Performs other duties as assigned.
