- Front Office Management:
- Greet visitors, parents, and students in a welcoming manner.
- Answer phone calls and direct inquiries to the appropriate personnel.
- Maintain a tidy and organized front office area.
- Student Records Management:
- Assist in maintaining accurate and up-to-date student records.
- Process new student enrollments and withdrawals.
- Generate reports and documents related to student attendance and performance.
- Communication and Correspondence:
- Draft and distribute internal and external communications.
- Manage incoming and outgoing mail and emails.
- Facilitate communication between teachers, parents, and school administration.
- Office Supplies and Equipment:
- Monitor and replenish office supplies as needed.
- Coordinate maintenance and repairs for office equipment.
- Event Support:
- Assist in the coordination of school events and activities.
- Prepare materials and logistics for meetings and parent-teacher conferences.
- Data Entry and Filing:
- Accurately enter data into school databases.
- Maintain organized filing systems for various administrative documents.
- Attendance Monitoring:
- Collaborate with teachers to track and report student attendance.
- Communicate with parents regarding attendance-related matters.
- Emergency Procedures:
- Assist in implementing emergency procedures and drills as necessary.
- Keep emergency contact information updated.
- Fee Collection and Tracking Assistance:
- Support the utilization of the MySchoolBucks platform for the collection and tracking of fees related to beyond school programming, ensuring accuracy and timeliness.
- Student Recruitment Support:
- Assist in activities related to student recruitment, working collaboratively with the Student Recruitment Team to attract and retain students while promoting the school's mission and vision.
- Building Support:
- Help plate and deliver breakfast and lunches.
- Greet students at arrival and help facilitate dismissal.
- Support related arts teachers when needed.
- Help students make transitions throughout the building (e.g., restroom, related arts, special services).
- Assist with attendance, late arrivals, and breakfast.
- Friendly and approachable demeanor.
- Ability to handle sensitive and confidential information with discretion.
- Team player with a positive attitude.
- Problem-solving skills and ability to adapt to changing priorities.
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience in administrative roles, preferably in an educational or program coordination setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment.
- Strong organizational and multitasking skills with great attention to detail.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
