Job DescriptionHeavy Duty Trucking Service Writer
Position Overview: We are seeking a detail-oriented and customer-focused individual to join our team as a 2nd shift Heavy Duty Trucking Service Writer. In this role, you will serve as the primary point of contact for equipment requiring service or repairs on commercial vehicles. You will coordinate service appointments, gather information about vehicle issues, and communicate effectively with customers and technicians to ensure timely and accurate completion of repairs. Hours are flexible and will be determined upon hire. This is a Monday-Thursday, 10-hour shift. $16-$18 per hour.
Key Responsibilities:
1. Customer Service: o Greet customers and provide a welcoming and professional experience in person, over the phone, and via email. o Listen attentively and accurately document service requests and vehicle symptoms. o Explain repair procedures and provide status updates to drivers throughout the service process. o Address inquiries, resolve complaints, and ensure high levels of customer satisfaction.
2. Service Coordination: o Schedule service appointments and allocate resources efficiently to meet fleet needs and service deadlines. o Coordinate with technicians to ensure proper diagnosis and prioritization of repair work. o Order parts and materials as needed for scheduled repairs and maintenance jobs. o Maintain communication with drivers regarding any changes to service timelines or additional repairs identified during the process.
3. Documentation and Record-Keeping: o Create and maintain accurate service records, including work orders and invoices. o Enter data into the service management system, including vehicle details, service history, and repair recommendations. o Ensure compliance with warranty and service contract requirements, including proper documentation and approval processes.
4. Technical Support: o Assist drivers with break down calls and handle accordingly. o Relay technical information and repair instructions accurately between drivers and technicians.
Qualifications:
• Previous experience in a similar role, preferably in the heavy-duty trucking or automotive service industry.
• Strong customer service and communication skills.
• Excellent organizational skills and attention to detail, with the ability to multitask and prioritize tasks in a fast-paced environment.
• Proficiency in computerized service management systems and Microsoft Office applications.
• Basic knowledge of heavy-duty truck components, systems, and maintenance practices.
• Familiarity with warranty and service contract procedures is desirable.
• High school diploma or equivalent required; additional technical or vocational training in automotive service or related field is a plus.
