- Work closely with the Senior Meeting Planner and Director of Meetings & Conferences to manage all aspects of conferences and expos.
- Assist with research, selection, and contracting of vendors for various event needs (e.g., signage, printing, promotional materials).
- Coordinate speaker logistics, including travel arrangements, honoraria payments, and audio-visual requirements.
- Manage the development and distribution of conference materials (program guide, name badges, handouts).
- Oversee the onsite registration process, ensuring smooth check-in for attendees and exhibitors.
- Provide logistical and administrative support during the event, including managing volunteers, room setup, and troubleshooting any issues that may arise.
- Assist with post-event activities, such as data collection, surveys, and report preparation.
- Maintain accurate records and documentation throughout the planning and execution process.
- Stay up-to-date on conference best practices and emerging technologies.
- Bachelor's degree preferred, but relevant experience in event management or a related field may be substituted.
- Minimum 2+ years of experience in event planning or a similar fast-paced environment.
- Excellent communication, interpersonal, and organizational skills.
- Strong attention to detail and ability to prioritize tasks effectively.
- Proficient in Microsoft Office Suite and project management tools.
- Experience with event registration platforms a plus.
- Ability to work independently and as part of a team.
