- Perform general administrative duties
- Assist with employee relations
- Conduct all business in a professional and ethical manner to serve customers and increase the goodwill and profit of the company
- Communicate effectively with employees, customers, and external 3rd party vendors
- Track and procure all company equipment and supplies
- Schedule and coordinate office maintenance; arrange for the service of all office equipment, including office facilities.
- Oversee reception weekly front desk coverage
- Update and maintain phone contact list and phone system
- Assist with covering front desk and customer service phone calls in a professional and courteous manner
- schedule and coordinate meetings, special events, and luncheons
- Facilitate data entry, document preparation, presentations, special reports, memos, letters, word processing, spreadsheets, and routine correspondences
- Perform research and other duties necessary to obtain information; gather and organize data to prepare reports for review and action by others
- Scan, organize, and maintain filing systems
- Track company auto and field equipment, DMV processing renewals, DOT compliance, and maintain recordkeeping
- Maintain company insurance policies, reporting, and annual renewals
- Assist with new community sales office setup and closing, providing all updated compliance and relocation materials and equipment
- Prepare and process incident/accident insurance claims
- Coordinate company IT requests, solutions, and tech support
- Assist with the SJVH Safety compliance program
- All other duties as assigned
- 2+ years of proven experience as an administrative assistant or in a similar role or training. Builder industry experience is a plus
- High School Diploma; College Degree preferred
- Excellent technology skills, pick up quickly on new software
- Proficient in Microsoft Office Suite, Cloud-Based Applications
- Typing 50+ wpm,
- Excellent verbal and written communication skills and multi-tasking skills
- Strong time management skills with an ability to meet project deadlines
- Ability to handle confidential or sensitive information
- Excellent organizational skills and attention to detail
- Strong analytical and problem-solving skills
- Interact well with co-workers
- Team player
- Valid Driver's License
- Able to sit at a desk for extended periods, easily move around the office, and lift up to 20 lbs.
