    Summary:

    Boulder Medical Center (BMC) is currently seeking a Clinical Office Operations Coordinator to join our Operations Team in Louisville This position is benefit eligible working full-time 40 hours per week Monday-Friday and will be located at our Avista location in Louisville (80 Health Park Dr Suite 100, Louisville, CO

    Job Perks:

    Job Duties:
    • Lead and direct the clinical and receptionist assignments for all Float Pool staff
    • Adds scheduled and unscheduled hours (with notes) to the covered staff s' time record inside the payroll system. Ensures that all PTO, bereavement, jury duty hours are accurately recorded for staff who used Float pool coverage for this time off. At the direction of the site manager, makes timesheet corrections and edits so that department codes are accurate for the payroll run. Reviews and approves all timecards ensuring they are complete and accurate by the payroll deadline each pay period.
    • Communicates changing assignments in various forms including texting, phone calls, email, etc.
    • Prepares and distributes weekly Float Pool schedules for the clinical and non-clinical staff. Double checks provider schedules for any changes to hours or days to ensure the published schedules are as accurate as possible. Reaches out to Site Managers and/or staff to help cover when float pool resources are short.
    • Ensures that staff work schedules are appropriate for the effective operation of BMC. Assists in providing daily staffing solutions for all sites.
    • Checks with Float pool personnel to gauge their comfort level within a specific assignment. Assigns them on to a new department once they are proficient. Tracks the completion of orientation checklists for each float pool staff member.
    • Forecasts float coverage for nursing and reception.
    • With direction from the Site Manager approves or denies time off requests based on availability of float coverage. Looks for alternative dates and suggests them where available. Assists Site Managers with potential needs for future coverage by anticipating time off needs based on information given/available. (e.g., notice of FMLA, staff counseling issues, preference for Float personnel, illness, Float personnel preparedness through orientation.).
    • Works with other managers/supervisors to set up and provide staff for employee and patient flu shot clinics, department meetings, quality meetings or any other coverage needs.
    • Communicates and collaborates with Site Managers and Clinical Educator identifying training needs of staff.
    • Establishes and maintains optimal communication, both written and verbal, with staff, administration, and providers.
    • Addresses patient concerns or issues and escalates to site manager as needed.
    • Receives, reviews, works, and maintains daily/weekly reports as deemed appropriate including but not limited to No Show report and Bad Debt reports.
    • Acts as the point of contact if the manager is not on site, escalating requests as appropriate.
    • Collaborating with Clinical Educator on staff coverage and new hire training to ensure sufficient onboarding of new hires.
    • Performs additional tasks and special projects as assigned by site manager.
    Experience and Skills
    • Must possess effective communication and people skills to establish and maintain cooperative work relationships with providers and staff.
    • Must be self-directed, highly motivated with strong organizational and problem-solving skills, and work ethic emphasizing tact, diplomacy, flexibility and confidentiality.
    • Must possess knowledge of regulatory standards for compliance.
    • Intermediate proficiency and knowledge with computer systems and programs including but not limited to MS Office software.
    • Must be able to create and interpret a variety of documents and spreadsheets.
    • Must be proficient with physician scheduling software, Electronic Health Record (EHR) software, and payroll /timekeeping system.
    Education:
    • High School diploma or equivalent.
    • Some college courses in business or healthcare administration, preferred.
    • A bachelor's degree in a related field, highly desired.
    Previous Experience:
    • Relevant medical office lead experience with an emphasis in healthcare staffing preferred.
    The starting hourly pay range for this position is commensurate with experience:
