About the Role
The Haven Group, a top-producing San Francisco real estate team is seeking an Executive Assistant & Marketing Coordinator to serve as the right hand to the team lead. You will manage day-to-day executive operations (inbox, CRM, tracking sheets,
coordination) while also driving the team's marketing presence across social media, email campaigns and online platforms. This is an in-office role with a clear growth path.
What You'll Do
Executive Support (≈50%)
•Manage the team lead's email inbox throughout the day: flag urgent messages, draft replies for review and approval,and respond independently to routine items from your own email (copying the lead).
•Maintain and organize contacts and leads in Compass CRM. Monitor tasks and action plans. Send bulk emails as needed. Support lead agent in maintaining consistent outreach to clients, including birthdays, house anniversaries, gifting and "Likely to Sell" contacts.
•Maintain key weekly team operational goals and pipeline using Google Sheets.
•Provide transaction-related support: update leads in Business Tracker, monitor the team's buyer representation agreements, prepare buyer offer documents and coordinate Signatures for lead agent and interface with the Transaction Coordinator as needed.
•Handle administrative functions such as domain and email server administration and organizing the shared directory.
Marketing Coordination (≈50%)
•Social media execution: publish content on LinkedIn.
•Grow into content creation: over time, learn to film and edit short-form videos and carousels, write captions and post copy, and conceptualize simple storyboards, moving from execution to partial content creation.
•Manage the team's online presence: update bios and photos on Zillow, Google Business, Yelp, and similar platforms; responding professionally to reviews and testimonials.
•Manage email marketing via Mailchimp: maintain and segment mailing lists. Coordinate with team on newsletters and campaigns. Create and update email templates to streamline outreach campaigns.
•Coordinate with website administrators on new listings, pendings, and closed sales to marketing materials; ensure relevant market statistics are incorporated into blog content.
•Share responsibility (with other team members) for responding to Instagram comments and inquiries, and help capture, tag, and nurture inbound Instagram leads into the CRM.
•Maintain Instagram lead tracking documentation. Track and analyze Instagram performance: monitor aggregate likes, shares, comments, and other engagement metrics for each post, and highlight trends.

•Compile real estate market statistics as needed, helping to identify and highlight notable trends for content and client communication.
•Plan and execute pop-by gift programs for various holidays.
•Lead preparation for company events, including planning time and location logistics, site reservations, food and beverages, sending out invitations and reminders, assembling gift bags and supporting event setup and breakdown.
Who You Are
•Highly organized, detail-oriented, and comfortable managing recurring weekly tasks and systems.
•Proactive and confident. You take initiative, ask clarifying questions, and are happy to own outcomes.
•Strong written communicator who can adapt tone and voice to represent the team lead in email and on public-facing platforms.
•Social-media fluent and genuinely interested in digital marketing.
•Proficient in using AI tools (for example, for drafting emails and posts, summarizing information, basic research, and improving workflows) and ready to integrate AI into daily workflow.
•Tech-comfortable: experienced with CRMs, Google Workspace and email marketing tools such as MailChimp.
•A growth-minded professional who wants to take on more responsibility over time
Preferred Experience
•Experience in a real estate or professional services environment.
•Prior experience with Compass CRM and Compass tools.
•Experience with Mailchimp or another email marketing platform.
•Experience supporting an executive or team lead in an EA, coordinator, or similar role.
•Basic video editing / content creation skills (or a clear desire and aptitude to learn).
•Real estate license is a plus, but not required.
