    Job DescriptionDescription:

    A Douglas Aquatics Zone Supervisor is responsible for all operations, personnel, and client relations within his or her zone. They must manage personnel, time and resources effectively in order to have a successful season.

    Scope:

    • Supervision and effective management of a "zone" which includes up to 15 swimming pool facilities. Those may include country clubs, recreation associations and apartment swimming pools.
    • Development of a working knowledge of each facility, to include all mechanical operations, pool rules, client needs, gate procedures and guest policies.
    • Working with and training staff at all facilities. Provide support to employees empowering them to provide quality service. Conduct inspections of facilities and perform staff evaluations.
    • Be certified in American Red Cross Lifeguarding, First Aid and CPR for the professional rescuer or equivalent.
    • Develop strong professional relationships with clients. Hold meetings with them to acquire feedback on performance, make rule changes, and/or discuss policies and operations. Supervisors must respond quickly to clients' concerns and deliver a high level of service.
    • Work closely with upper management by attending progress and managers meetings. Provide status reports by established deadlines to Coordinators.
    • Schedule the appropriate number of staff members for required labor hours in assigned zone and post these schedules online.
    • Prepare and process payroll for pool facilities. Audit for rain days, overtime, and compare hours worked to schedules.
    • Perform full water tests biweekly and report them to the operations coordinator.

    Chain of Command: The zone supervisor will report directly to their respective coordinator.

    Pre-Season Duties: During the preseason you will be expected to have your facilities prepared and ready prior to opening. You will have to work in teams to reach your goal Give clear instructions to your crews and supervise their work. You will help your crew get things done each day. When you start work, you will "hit the ground running"

    • Assemble and supervise an opening crew to do all final preparations to facilities. You will have check off sheets to make sure that all duties are done. Vacuum and clean pool, clean all pool furniture, clean deck, stock, prepare, and clean bath facilities, install ladders and diving boards, etc.
    • Operate and maintain pools until opening
    • Hold a pre-season meeting with the staff and clients at each facility
    • Train all managers and appropriate staff on operation of swimming pools
    • Chemically treat and balance all pools
    • Know all pool rules and procedures at each facility
    • Work with staff to compile first schedule of season
    • Deliver all Blue Books, first aid, janitorial supplies, etc.
    • Make copies of keys as needed- turn receipts in Monday morning with mileage, you will be reimbursed

    Schedules: As a supervisor, you will be responsible for obtaining lifeguard availability from staff working at single guard facilities under you. All schedules for single guard facilities are uploaded into MITC by you. It is pertinent that you get availability from each lifeguard or they will not be able to be included on your schedule. Each lifeguard will review his or her schedule online. Any problems with the schedule need to be reviewed and revised as soon as possible. There are times when your lifeguards will have problems arise with their schedules, such as sickness or a death in the family. It is their responsibility to let you know as soon as possible. The lifeguard is given this policy during their orientation process, and it is stressed they must work their scheduled days. This is a condition of their employment agreement as well. The most important aspects of scheduling is limiting overtime and staying within the bi-weekly labor hours set at each pool.

    Public Relations: Good supervision also involves public relations. Your efforts to present your skills and abilities to your personnel and the clients of the facilities will determine how they feel about you and Douglas Aquatics. Talk to your clients regularly. Find out how you can help them. They will appreciate your concern and will work with you. Visit and discuss the operation of the pool facility with the pool contact person on a weekly basis. You will find that they will be more than happy to assist you. Our clients and their patrons are looking to you and counting on your abilities to keep the pool safe and clean

    Job Costing Vs. Billing: You will be given checkout procedures for items that go out to the pool facilities from the Douglas Aquatics office. Some items are covered and paid for by the contract that we have with our clients. For example, operating chemicals, like granular chlorine, are part of the client's contract with us. The chlorine would be applied to the client's job costing spreadsheet. On the other hand, if the pool facility requires a new skimmer basket, it is sold to the client because it becomes permanent pool property.

    Attending Meetings: As a supervisor, you will attend mandatory meetings, as well as call your own meetings. Meetings are great opportunities to communicate any issues, concerns and information. Everyone shall be respectful and report to meetings on time.

    • Staff Meetings – When you call a meeting with your staff, make sure you have an agenda and have topics prepared to be discussed. In addition, during the meeting process, course of action and deadlines are to be established. Meeting to "talk" is necessary, but you also want to make sure you are getting results. Make a plan to resolve issues
    • CPO Meetings – You will meet with your coordinator on a weekly basis. In this meeting you and the other zone supervisors are given updates and information. It is also your opportunity to discuss any issues you may have. Meetings help everyone stay focused and working towards their goals.
    • Manager Meetings – You will attend and lead manager meetings as well. At manager meetings we discuss any issues and provide resolutions. On occasion, outside guests join the meetings to speak on topics such as safety issues and customer service. Manager meetings get everyone working as a team. We ask that both the manager and assistant managers attend. Meetings are held each pay period, Friday, from 8:00 A.M. to 10:00 A.M. in the CPO Training Room. Managers are not to schedule themselves for morning shifts on those days in case our meeting time is extended due to speakers.
    • Client Meetings – You will be meeting with clients on a weekly basis. Client meetings give the opportunity to discuss the positives and the negatives of each pool facility in your zone.

    Expectations:

    • Conduct yourself in a professional manner. Your staff and clients look to you for help and problem solving. In a leadership role, you must be aware that all eyes are on you at all times.

    • Dependability - being on time for your staff and clients, every time

    • Wear uniformed clothing issued at the start of the season. Zone supervisors must maintain a neat and well-groomed appearance at all times. Shirts are to be tucked in and khaki shorts are preferred, color shorts are acceptable. Closed-toe shoes or tennis shoes are required. Sandals and "flip flops" are not allowed.
    • When driving to your assigned facilities, it is important to remember that your car is a representation of you and Douglas Aquatics. Car stereo volume should be kept to a minimum and you must park in designated parking areas. Curbside parking is not permitted since they typically are fire lanes. Many of your pools are located in residential neighborhoods where children play, so make sure to follow all posted speed limits - it's the LAW
    • Communicate with your staff, managers and coordinators if you have any concerns or suggestions. You may have an idea that would improve a procedure. You are encouraged to share your thoughts and ideas. We are a team. Give each situation your best effort, and the clients and staff will remain motivated and focused on achieving our goals

    As a zone supervisor, you play a significant role in the prevention of drowning and aquatic injuries at your facilities by building a properly prepared lifeguard team. To do this, you must first know and understand the responsibilities of the lifeguards you manage. This helps you guide and assist them in fulfilling their job duties and responsibilities.

    Time Off: Your job as a zone supervisor requires you to work long hours and for extended periods of time. All supervisors work as a team to provide each member days off during the summer. This is a seasonal business and we need to work closely as a team to be able to ensure each team member is able to take off the days they desire. These days may be taken after public school is out for the summer and before August 15. You must work 6 days in a row before you are granted 1 day off. You may rotate which days you want off, for example, you must work 12 days in a row in order to have 2 consecutive days off. Other supervisors and coordinator are covering your zone while you are off; therefore, communicate your desire to be off as soon as possible. For each one of your pools, each day you are off, you must complete the day off coverage form. It is important to post a written memo to your staff in each facility Blue Books, to inform them of when you will be off and who will be covering while you are out.

    You are on call for most of the summer and there will be occasions that you will want to do something during evening hours, such as go to a movie and out with friends. You are responsible to communicate your desired plans and work with the other supervisors to cover your zone. In addition, you will cover their zone when they have a function or activity that they want to attend. We can only accomplish our goals by working together.

    Weekly Incentives: Each zone supervisor may have the opportunity to earn a weekly incentive. This incentive is decided during weekly meetings with the coordinators on the following criteria: Inspections, Supervisor Team Duties, Management Responsibilities, Physically open or close at least one pool 6 out of 7 days a week.

    Weekly Incentives are awarded by the discretion of the management coordinators.

    Requirements:

    Physical Demands:

    • Must be able to lift 50 lbs. and manipulate all maintenance equipment for the swimming pool.
    • Must also be able to physically execute all swimming and rescue skills learned during training.
    • Must have good vision and hearing, if otherwise, corrective lenses and hearing devices are required.

    Job Requirements:

    • Vehicle – you must own and operate a vehicle that is in good working order. Your vehicle will be your "office." Keep it organized so you can quickly find forms, first aid, and other items that you will have to deliver to your pools. You will be provided with plastic bins to make sure you are organized. On occasion, you will have to transport pool chemicals to facilities. You must keep with you a basic set of tools and socket set. This will be imperative for pre-season duties.
    • Mileage – you will have to track your daily mileage. These forms will be given to you during supervisor training and included in your White Book. Douglas Aquatics will compensate you per mile. Mileage is turned in weekly, on Monday morning, and your reimbursement check is issued the following Tuesday. It is illegal to compensate you for commuter miles. You are responsible for your commute to our office or first pool facility of day as well as your commute home from our office or last pool facility.
    • Hours and availability – you will be required to be on call 24 hours a day when you are working. Due to the seasonal nature of our business, this is a must. Coordinators may help cover for you if you have an event during the evening hours. A lifeguard may have locked themselves into a facility, or there may be an equipment problem. This is your responsibility and we expect you to cover or have arrangements with another supervisor or coordinator to cover.
    • Cell phone – Douglas Aquatics will provide you with a cell phone. Cell phones are to be carried with you at all times. You will be responsible for this equipment, so treat with care. The cell phone is for company business use only. Your coordinator will be able to locate you via GPS using this device.
    • Must be physically and mentally fit. There are certain physical requirements that you must be able to meet. You must be able to lift a minimum of 50 pounds – this is the typical weight of chemical containers that may need to be transported to pools. Rest in the evenings to be sure that you are mentally fresh and rested to deal with situations the following day. It is important that you keep hydrated on hot days, and encourage your staff to do the same.
    • You will also be issued a lock box key. We have lock boxes at each facility we manage. It is your responsibility to make sure that keys are always returned to the lock box. We have subcontractors that use our lock box keys to deliver chemicals. Failure of ensuring that keys are in their boxes will result in a $100.00 fine that you will be responsible for.
    • Be certified in American Red Cross Lifeguarding, First Aid and CPR for the professional rescuer or equivalent.
    • Work MOD shifts at pools to mentor and teach younger guards.
    • Approve and post schedules on MITC.
