    Position Description

    The Event Operations Manager will manage our New Business segment through the planning and execution of events related to youth, music and soccer. They will assist heavily in execution of all our recurring events, including the Pop Tarts Bowl and the Cheez-It Citrus Bowl. This position reports directly to the Senior Director of Event Operations.

    General Responsibilities

    § Oversee the day-to-day operations of events

    § Event lead responsible for all event components from contracting, planning, site visits, mapping, research, vendor management, orders, on-site execution, breakdown, financial reconciliation, recap, etc.

    § Over communicate and partner with all venue departments to plan, setup, execute and tear down all event components

    § Manage competition schedule of activities

    § Effectively multi-task numerous events and/or tasks simultaneously

    § Lead an event team of coordinators and/or interns, including onboarding and training of new team members

    § Solicit/negotiate bids and invoices for all event services

    § Work with ground maintenance team to ensure quality of competition surfaces, any restoration needed, pricing and timeline needed for success

    § Work with local hotel and theme park partners to contract space, tickets, rooms, special events, etc.

    § Finalize billing and payments of all services and staffing required for event

    § Responsible for management of financial budget for all event expenditures

    § Partner with FCS Volunteer team to staff appropriately, including event specific trainings

    § Oversee all catering and food service requests

    § Participate in and lead all partner calls, meetings, site visits, trainings, team arrivals and walk throughs – main point of contact for clients

    § Be over vigilant in event preparation, planning, problem solving, client engagement and the overall guest experience, including guest recovery and post event follow-up

    § Ensure all event deliverables are scheduled, achieved and reconciled

    § Assist Core Events team as needed with any other event responsibilities

    § Build out detailed venue layouts, including competition areas, transportation/parking flow, office spaces, special events, etc.

    § Focus on safety first, including detailed emergency plans and ingress/egress routes

    § Create yearly recurring event timelines broken down by monthly responsibilities to keep team on track

    § Record all meeting notes and created detailed recaps to ensure a focus on continued improvements

    § Other duties as assigned

    Qualifications

    FCS is looking for the ULTIMATE TEAM PLAYER, a detail-oriented self-starter, who possesses excellent writing, proof reading, computer skills. Strong time management, organizational skills, problem solving and the ability to get things done under pressure are essential. This person will interact with a variety of people and represent FCS accordingly.

    Required

    · Bachelor's degree

    · Minimum 5-8 years' experience in a professional setting within the sports, hospitality, or event industry

    · Minimum 3 years leading a team of individuals

    · Prior experience developing and managing a budget

    · Strong computer skills in Microsoft Office – Smartsheet preferred

    · Ability to manage, prioritize and bring to completion multiple projects simultaneously

    · Must be able to maintain confidentiality of all corporate, personnel and research matters

    · Attention to detail and adaptability to a changing environment

    · Ability to lift moderate to heavy event supplies up to 50 lbs. occasionally

    · Self-motivated, team player with enthusiasm and a professional demeanor

    · The ability to travel throughout the local Central Florida area

    Commitment

    This position requires at least forty hours per week and the willingness and ability to work overtime, nights and weekends, including the December holiday season according to the Florida Citrus Sports event schedule. The successful candidate will be required to successfully complete a background check and motor vehicle driving check.
