    Description

    Job Purpose:
    This is an in-person position.

    The Administrative Assistant is responsible for carrying out daily administrative tasks, as well as maintaining client-related documentation and passing on needed information to appropriate staff.

    Assuring files are kept in a confidential manner and kept up to date.

    In the absence of the program coordinator, the Administrative Assistant is responsible for coordinating intake meetings as well as attending all person center plan (PCP) meetings and providing required documentation and assessments.

    Responsibilities would also include communications with providers, guardians, and contract agencies concerning required documents and updating programs.


    Duties:

    • Creates and revises systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, and budgetary and personnel requirements; implementing changes.
    *Assist CEO and Team Leaders in the areas of staff recruitment, Interviews, performance reviews, promotions, and discipline of personnel.


    • Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
    • Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
    • Provides information by answering questions and requests.
    • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. Specifically serving as the liaison for IT.
    • Completes operational requirements by scheduling and assigning administrative projects; expediting work results.
    • Follows HIPPA guidelines, as well as maintains required trainings in compliance with Community Mental Health standards.
    • Contributes to team effort by accomplishing related results as needed.
    *Obtain and maintain Chauffer's license.


    Skills/Qualifications:
    A minimum of a high school diploma, minimum of 2 years working with adults with developmental disabilities. Knowledge of documentation requirements required by Community Mental Health preferred.

    Experience working with individuals with mental and physical challenges.

    Reporting Skills, Administrative Writing Skills, Microsoft Office Skills, Managing Processes, Organization, Analyzing Information, Professionalism, Problem Solving, Supply Management, Inventory Control, Verbal Communication

    Clean criminal history and pass Community Mental Health standards for providers.
