    We have a non-profit client in San Jose seeking an Office Coordinator/Accounting Clerk to support their CFO.

    This position would be 100% onsite.

    Pay is up to $30/hr

    Hours are Monday-Friday from 10am-3pm PST each day

    Duties will include:

    • Field general office requests from employees and either fulfill or escalate to Manager as appropriate.
    • Following daily, weekly, and monthly checklists, manage office supply inventory of copy/supply rooms, kitchens, executive briefing center, etc.
    • Ensure office is stocked with needed supplies and replenish in a timely manner
    • Maintain well-organized copy rooms and kitchens so that employees can rely on items being where expected
    • Support office at-large with coordinating conference room bookings as needed, organize meeting room related logistics, and resolve associated conflicts in a positive manner
    • Support set up of conference room/on-site space for large-scale meetings/events such as monthly all-hands meetings, escalating requests outside of normal scope to Manager
    • Monitor activity of large-scale meetings and trainings ensuring rooms are cleaned out at the end of the meeting/event
    • Support onboarding of new hires by ensuring desks are set-up per hiring manager's request and are clean and ready to be used; coordinate internal and external service providers to ensure workstations are ready in a timely manner
    • Monitor office/conference room space and maintain a neat and orderly environment
    • throughout the day: Refresh the kitchen daily to appropriate standards (free of clutter, removal of boxes and discarded items)
    • Organize conference rooms, return chairs to tables, wipe down white boards, stock and replace white board supplies, etc.
    • Proactively identify and follow up on office facilities issues requiring service (i.e., spots in carpet, broken furniture, light outages, etc.) and escalate to Manager as appropriate
    • Proactively identify office equipment requiring service and coordinate with IT department by opening Service Now tickets to ensure that out-of-service items are repaired timely, and follow up / close the loop on associated matters
    • Compile and order (via appropriate methods as directed by Manager) office supply requests ensuring requests are responded to in a timely manner.
    • Ensure vending machines are stocked in a consistent manner and that product is always available and report maintenance issues to Manager
    • Monitor daily janitorial service and proactively identify items service gaps, escalating to Manager for resolution
    • Other duties as assigned

    Requirements:

    • Degree or years of related work experience
    • 2+ years of Administrative support experience in an Office Manager or Office Coordinator capacity
    • Strong Microsoft office skills
    • Advanced corporate email abilities
