- Responsible for scheduling appointments for NBFU clinics.
- Reschedule missed appointments.
- Completes reminder/confirmation calls.
- Ensures appointment reminders are successfully sent.
- Verify clinic schedule and fill any open slots.
- Assists with No Show process.
- Provides back-up support for Clinical Program Coordinator II
- Ensures clinics are stocked with appropriate forms and information/handouts for patients and parents, as requested.
- Requests supply orders and submits maintenance requests to appropriate personnel.
- Performs other administrative functions such as typing correspondence, editing forms, and filing.
- Disinfect and sanitize clinic area before and after each patient, make sure rooms are clean, and straighten out pull paper for the tables, make sure there's enough chairs
- Maintain handouts/forms such as consents, billing sheets, and questionnaires for clinic providers
- Completes Medicaid referrals and authorizations.
- Requests outside documents such as Medicaid referrals/authorizations and NICU discharge summaries.
- Follow up on requests and scan into patient record.
- Answers multiple phone lines, routes incoming calls to appropriate staff, and enters patient calls into Epic.
- Clear voicemails.
- Responsible for checking OnBase.
- Reviews RightFax and incoming faxes.
- Scans appropriate documentation into patient charts.
- Transcribes orders into Epic
- Ensures the patient family receives CHADIS pre-visit questionnaires, New Patient Paperwork, MyChart, and other documentation needed for a successful visit.
- Maintain forms such as consents, bill sheets, and patient education handouts.
- Works with clinical staff, registration and triage staff and other office staff as needed as well as outside facilities to obtain medical record documents; and coordinating after care and follow up (return appointments) as directed by providers.
- Assist families with resources/services for patients with autism.
- Assists with patient flow throughout clinic visit i.e. check-in/check out, answering phone and door, welcoming families into clinic, update clinic tracker board, assists patients with CHADIS screens on iPads, enter CHADIS results into patient note.
- Provide Reach Out and Read books to patients.
- Prints After Visit Summaries at patient discharge. Scan clinic documents into patient chart.
- Perform other duties as assigned

Responsible for coordinating the patient check in/out process and/or administering certain clinical and patient services and for performing administrative duties in support of physician staff and operations.
