    Position Summary:


    The Clinic Manager position is a diverse, exciting, and incredibly rewarding role that focuses on the enrichment of our team, and the improvement of our patients and their families lives who are dealing with the effects of Autism Spectrum Disorders and Major Depressive Disorders.

    The Clinic Manager is responsible for overseeing the day-to-day operations and the direction all support staff.

    The Clinic Manager will intake patient inquiries and engage in patient / family onboarding sessions to manage treatment protocols before, during, and after treatment.

    Patient, patient family, and support staff communication along with treatment protocol planning and execution is vital to our mission of improving the lives of our patients and their families
    Duties of the Clinic Manager include, but are not limited to:

    • Intake and execute new, and existing patient inquires and leads in conjunction with leadership
    • Effectively manage web based, email, and phone inquiries to follow-up and create potential patient lead dashboard along with leadership
    • Lead pre-treatment sessions with patients and families to explain our unique evaluation and treatment process
    • Ongoing education along with leadership and supporting staff
    • Direct patient care process in partnership with techs and leadership
    • Scheduling New Patients:
    o Update Calendar with all available new patient EEG slots

    • Check patients in and out along with other support staff
    • Monitor and respond to all patient communication via phone calls, email, web based, EMR platforms, etc
    • Download weekly patient reports (EEG) for review with leadership
    • Maintain staff / patient schedule:
    o Scheduling tech rooms, EEG, leaderships calendar

    • Create patient superbills and invoices
    • Collect payment and monitor billing in conjunction with leadership and organizational partners
    • Weekly collections reporting in conjunction with leadership and organizational partners
    • Keep all electronic files updated and organized:
    o Clinic paperwork – maintain updates and communicate with patients as needed - patient files - EEG reports, paperwork, and billing

    • Office specific files are scanned and organized –
    vendors/accounts/bills

    • Help organize and execute regular staff meetings to communicate goals, review best practices, and ensure execution of our mission
    • Facilitate patient referral transfers from other treatment offices
    • Clinic management: communication, protocols, office supplies, check and organize incoming mail
    • Ensure sterilization and cleaning of clinic daily by staff
    • Maintain staff credentials
    • Reconciliation of patient files (all paperwork signed and uploaded)

    Overall Goals:


    The Clinic Manager will develop and maintain a highly rewarding and welcoming patient care environment, with a focus on patient and family communication in accordance with our mission.

    Organizing and successfully executing potential patient leads, managing patient care protocols, and office staffing management are the primary goals and objectives for this position.

    Capabilities and skills of the Clinic Manager should include:
    Physician Assistants degree is required for this position
    Cheerful and welcoming demeaner – the ability to engage and relate to patients and families to create and welcoming and safe environment for patients, their families, and support staff
    Ability to communicate clearly and effectively both verbally and written
    High values on patient care with a servants mentality putting the needs of our patients and our team first
    Motivated to lead and mentor supporting team members
    Highly organized and systematic planner
    Detail oriented with the ability to prioritize tasks and goals
    Flexible and able to adjust for daily changes and needs of the team or patient(s)

    Excellent written communication:
    will be drafting medical notes, record keeping, communicating with patients and their families
    An understanding of HIPAA compliance (Federal and state)
    Willingness to seek continued education and apply systematic improvements
    Ability to think critically when problem solving and execute a plan while dealing with problems
    Ability to examine, communicate, and execute patient specific treatment plans
    Computer skills and knowledge in systems operations
    Working knowledge of how MeRT/ EEG systems work through highly organized company training
    Customer service, management, and administrative experience recommended
