POSITION SUMMARY Perform administrative and office support activities for all of the agency, as well as, foster efficient operation of the overall agency.
CORE ACCOUNTABILITIES Receptionist DutiesServe as the first point of contact for all visitors and clients. Welcome and assist these individuals when they arrive in a warm and friendly matter. Provide updates on expected wait times. Announce the arrival of a client, applicant, or visitor to the appropriate personnel. Answer and direct phone calls in a polite and friendly manner. Take and distribute detailed messages to appropriate personnel.Responsible for all mail and deliveries. Open, sort, and distribute incoming correspondence to proper individuals.
Will drop mail off at the post office at the end of the day and the school board office when needed.
Ensure the reception area is tidy and presentable, with all necessary stationery and material available for clients and employees. Will conduct light cleaning of area if needed throughout the day.Billing Conduct Medicheck lookup to confirm type of insurance for client.
Submit accurate and complete electronic claims to multiple insurance companies in an efficient and timely matter.
Investigate, identify, research, and appeal denied claims. Correct errors and submit appeals promptly as necessary.
Record submittals on tracking sheet.
Assist Agency Programs Manage the Milk Bank process.
Speak to potential donors and explain the process to become a donor.
Speak to approved donors and arrange drop off times.
Monitor freezer temperatures daily.
Box milk up and make drop off to UPS location. Communicate with the milk bank about program needs and supplies.
Make condoms kits for the MadCAP program and inform the MadCAP Supervisor when supplies are running low.
These kits are made for community outreach events and premade kits are kept in the receptionist area for clients/visitors when they request them.
Assist any other agency programs with projects when needed. Additional Duties and Responsibilities Review and recommend improvements to processes associated with areas of responsibility. Participate in staff meetings, conferences, training sessions and workshops as assigned.Demonstrate familiarity with policies, performance standards and the agency's Mission, Vision and Core Values. Be a contributory team member in a positive/productive manner.
Perform other duties as assigned. QUALIFICATIONSMinimum of one year receptionist experience preferred.
Minimum of one year experience in billing Manage Care Organizations (MCOs) preferred.
Excellent telephone etiquette and customer service skills required.
Ability to work independently with minimal supervision.
Excellent written and verbal communication skills.
Proficient in Microsoft Office:
Outlook, Word, and Excel.
Ability to work effectively in collaboration with diverse groups of people.
