    The Front Desk Representative is the first point of contact for clients, visitors, and employees, responsible for creating a welcoming and professional environment.

    This role includes handling administrative duties, managing front office operations, and ensuring smooth communication between departments.

    The ideal candidate will have strong customer service skills, a professional appearance, and the ability to manage multiple tasks in a fast-paced environment.

    Key Responsibilities:

    • Greet and assist visitors, clients, and staff in a friendly, professional, and efficient manner.
    • Answer incoming phone calls, directing inquiries to appropriate departments or personnel.
    • Handle inquiries, resolve issues, and provide information regarding services, schedules, or company policies.

    Administrative Support:

    • Manage incoming mail, deliveries, and packages.
    • Maintain office supplies and order inventory when needed.
    • Schedule and confirm appointments, meetings, and conferences for staff.
    • Maintain accurate records and assist with data entry.

    Front Desk Operations:

    • Ensure the front desk area is clean, organized, and presentable at all times.
    • Monitor visitor access and maintain security by following procedures.
    • Handle reservations, room bookings, and meeting room schedules.

    Communication:

    • Act as the communication hub for the office, conveying messages to appropriate personnel in a timely manner.
    • Update office signage, directories, and digital communication systems as required.

    Other Duties:

    • Assist with other administrative tasks and projects as needed.
    • Help onboard and train new front desk personnel.
    • Perform light clerical duties such as filing, photocopying, and faxing.

    Skills, Knowledge and Expertise:

    • High school diploma or equivalent required; some college preferred.
    • Strong verbal and written communication skills.
    • Excellent organizational and time-management skills.
    • Ability to multitask and manage priorities effectively.
    • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
    • Friendly and professional demeanor with a customer-focused attitude.
    • Ability to maintain confidentiality and manage sensitive information.
