    Summary:

    The Corporate Administrator and Executive Assistant (Japanese) provides administrative support for the HR organization in audits, reports, employee records, electronic filing, assisting Japanese expats, and translation assistance to the Chief Executive Officer. Work schedule flexibility is needed to support the timing of meetings requiring translation support.

    Responsibilities:

    • Translate monthly business reports for CEO
    • Participate in executive management meetings to translate for the CEO and other executive team expats.
    • Support executive expats with web meeting translations and occasional day trips to support in person.
    • Support the company's annual payroll, 401K, and worker's comp audits.
    • Assist Japanese expats with their U.S. assignments including making arrangements for housing, utility setup, health insurance, hotel reservations for business trips, interpretation, and be the go-to person for any questions or other assistance as needed.
    • Make purchases on company P-card if necessary.
    • Prepare company gatherings as needed.
    • Open and sort mail for Human Resources.
    • Assist with open enrollment preparation.
    • Electronic filing of employee personnel records in ADP and archived HR records in Box and Docuware.
    • Mail packages, letters, and employee notices.
    • Order office supplies.
    • Interface with vendors that come in (pest control, rugs, repair people)
    • Kitchen duty (dishes, restocking kitchen supplies)
    • Generate and distribute any special reports as requested.
    • General administration support for the HR department and the larger organization as needed.

    Requirements:

    • Bi-lingual (both written and verbal) English/Japanese required
    • 2-4 years administrative support experience
    • College degree preferred
    • Proficiency in MS Word, Excel, and PowerPoint
    • Strong written and verbal communication skills
    • Ability to effectively interact with employees in a friendly, positive manner
    • Must be organized, detail-oriented and willing to take initiative
    • Proficiency in company policy, payroll law, and regulations regarding expat assignments

    Schedule:

    Monday - Friday 8 am - 5 pm
