    Position Summary:

    Responsible for the daily supervision of (MA) Medical Assistant and Certified Medical Assistants (CMA). Participates in daily supervision of nursing staff in collaboration with nursing supervisor & within CMA scope of practice. The CMA Supervisor coordinates the Medical Assistant (MA) and Certified Medical Assistant (CMA) activity for assigned clinical departments under the direction of the Patient Care Manager. Collaborates with RN Supervisor and Manager to ensure appropriate staffing levels are maintained and department workflows are effective and efficient. Oversees all POC competencies for departments, involved in training and on boarding of new MA/CMA's, assists with annual CMA competencies, provides patient care, assists with in-basket work, and promotes communication in huddles for team-based care. Provides continuous feedback to staff to reduce error and enhance workflow processes. Performs as a working supervisor when needed to meet department staffing and volume fluctuations. Assist Manager and RN Supervisor with other leadership duties as requested.



    Qualifications:

    EDUCATIONAL REQUIREMENTS
    H.S. Diploma/GED

    CERTIFICATION & LICENSURE REQUIREMENTS
    Certified Medical Assistant (CMA) From the following certification bodies: National Health Career Association (NHA), National Association for Health Professionals (NAHP), American Medical Technologists (AMT), American Association of Medical Assistants (AAMA), National Center for Competency Testing (NCCT), American Allied Health (AAH) or the American Registry of Medical Assistants (ARMA) upon hire or Registered Medical Assistant (RMA) From the following certification bodies: American Medical Technologies (AMT) or the American Registry of Medical Assistants (ARMA). In addition, this certification requires: Successful completion of a Registered/Certified Medical Assistant (RMA/CMA) program or equivalent upon hire and Basic Life Support (BLS) (AHA) within 30 days.

    SKILLS AND KNOWLEDGE
    Leadership experience preferred--Senior CMA or equivalent



    Essential Functions:

    • Performs essential job junctions as direct reports (MA and CMA). Serves as a mentor for staff and provides coaching when necessary
    • Manages daily staff activities of patient care departments in conjunction with nursing supervisor & patient care manager. Makes work assignments and reviews/edit work of direct reports. Establishes daily work assignments to ensure adequate staffing coverage and good customer service
    • Recommend and initiates various personnel actions including, but not limited to,hiring, performance appraisals, and disciplinary actions
    • Resolves work related issues or assists employees in solving work related issues
    • Collaborates with RN supervisor to ensure VFC requirements are met and maintained
    • Resolves customer concerns, questions, and complaints by identifying problems and coordinating appropriate corrective action. Recommends resolution to RN supervisor/manager. Provides timely response to concerns received from the Patient Relations Department.
    • Ensures staff members are adequately trained and are competent to perform all required job tasks. Coordinates and oversees present staff members and clinic students
    • Scheduling and vacation approvals for all staff
    • Timekeeper in kronos for all staff and stay within SVR targets; assist with the productivity of his/her direct reports by maintaining employee edit requests, paid leave requests, etc.
    • Meet and maintain all productivity targets and department goals that align with the strategic plan, Ensures that staff are up to date with workload: Pended MAR, inbasket, pre-visit, work, stocking, etc.
    • Performs yearly staff evaluations and works to help them improve performance, productivity, and professionalism
    • Coordinates provider/staff on boarding; assists with creation of orientation schedules, educates on non-clinical processes and schedules. Onboarding and training new staff. Performs this work independently . Coordinates schedules, preceptors, and weekly check ins
    • Participates on committees and subcommittees including department work groups, cross department teams, etc. Involved in DNV preparedness and initiates & tracks staff performance projects in department
    • POC coordination: competencies, audits, maintenance of POC regulatory requirements, POC/safety education, etc,
    • Participates in Pediatric Leadership on-call rotation and oversite of Pediatric weekend clinic. In the absence of manager and/or nursing supervisor, CMA supervisor serves as the in-house leader
    • In addition to above essential job functions:
    • Participates in weekly dyad meeting
    • Collaborates with RN supervisor daily in regards to task, staffing, etc.
    • Leadership representation for partnership council
    • Assist in writing department protocols/policies
    • Ensures direct reports work to top of scope
    • Monitors inbasket work and staff productivity
    • Ensures Carle behavior standards are followed for all department staff
    • Responsible for patient and staff safety in designated departments
    • Ensures team-based care processes are in place and followed
    • Resolves provider concerns related to scheduling errors, staff concerns, patient concerns, workflow issues, etc.
    • Assist in coordination of warehouse ordering- office supplies
    • Assist in coordination of Martin One Sources ordering- Carle item ordering
    • Assist in coordination of medical supply/department ordering
    • Biomed requests- broken medical equipment
    • Building maintenance requests-
    • Managing and assisting in the maintenance and needs for VFC appliance monitoring
    • COTG printer requests- fix breaks, jams, replacements
    • Event reports-collaborates with nursing supervisor &/or patient care manager on event report investigation
    • Runs productivity reports and monitors for MA and CMA group
    • Rooming patients (taking vitals, going through medication/allergies, hearing/vision sc
