    As the CEO Executive Assistant, you will play an important role in supporting the CEO and ensuring the smooth operation of executive functions within the company. You will be responsible for managing administrative tasks, coordinating schedules, and providing high-level assistance to the CEO and other executives. The ideal candidate will be organized, proactive, and able to handle confidential information with discretion.

    Responsibilities:

    • Coordinate and manage the CEO's calendar, including scheduling meetings, appointments, and conference calls.
    • Prioritize conflicting schedule demands and provide reminders and follow-ups as necessary.
    • Serve as the primary point of contact for internal and external communications directed to the CEO.
    • Draft and edit emails, letters, memos, and other documents on behalf of the CEO.
    • Screen and direct phone calls and correspondence appropriately.
    • Make travel arrangements for the CEO, including flights, accommodations, and transportation.
    • Prepare detailed itineraries and ensure all travel plans align with the CEO's schedule.
    • Plan and coordinate meetings, including preparing agendas, taking minutes, and distributing materials.
    • Organize and maintain files, records, and documents, both physical and digital.
    • Manage confidential information with discretion and professionalism.
    • Conduct research and compile data as requested by the CEO.
    • Assist in the preparation of reports, presentations, and proposals.
    • Monitor industry trends and competitor activities, providing relevant insights.
    • Assist in managing various projects, including tracking progress, deadlines, and deliverables.
    • Collaborate with team members to ensure projects are completed on time and within budget.
    • Coordinate with building management for office maintenance and repairs.
    • Work with the finance team to track budgets and expenses related to the CEO's office.
    • Handle ad-hoc tasks and special projects as assigned by the CEO.
    • Act as a liaison between the CEO and other departments within the company.
    Requirements:
    • Bachelor's degree in business administration, management, or related field preferred.
    • Proven experience as an executive assistant or similar role supporting C-suite executives.
    • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
    • Excellent written and verbal communication skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
    • Discretion and confidentiality in handling sensitive information.
    • Ability to work independently and collaboratively in a fast-paced environment.
    • Flexibility and adaptability to changing priorities and deadlines.
    • Able to maintain a positive attitude.
