    Summary of Position:


    This position plays a crucial role in providing administrative support and ensuring the efficient operation of the Denver CIVI office.

    This position involves a variety of tasks and requires excellent organizational, communication, and problem-solving skills. The office assistant provides essential support to the team, ensures efficient workflow, and maintains a professional and welcoming environment. The ideal candidate should be detail-oriented, proactive, and able to handle multiple responsibilities with minimal supervision.


    Primary Job Responsibilities:

    • Manage office, breakroom and restroom supplies, including ordering, restocking, and monitoring inventory levels.
    • Assist with maintaining relationships with vendors and suppliers, ensuring timely delivery of necessary office materials, as well as snacks and beverages.
    • Ensure the kitchen is well-stocked with necessary supplies, such as coffee, tea, snacks, and utensils.
    • Load and unload the dishwasher, ensuring dishes are properly cleaned and stored.
    • Assist in facilitating internal and external communication by distributing flyers, memos, emails, and other correspondence as needed.
    • Assist with shipping and receiving of materials and supplies, coordinating with shop personnel for loading as needed.
    • Coordinate office repairs, preventative maintenance and repair services as needed.
    • Warmly welcome visitors and guests as they arrive at the organization.
    • Provide a professional and friendly first impression by helping and directing them to the appropriate areas or personnel.
    • Maintain a tidy and inviting reception area.
    • Answer incoming phone calls promptly and professionally, routing them to the appropriate individuals or departments.
    • Take accurate messages and relay them in a timely manner.
    • Respond to inquiries and provide general information via email, phone, or in-person.
    • Coordinate meeting room bookings and ensure they are properly set up with any required resources.
    • Provide general administrative support to other departments as needed.

    Knowledge/Skills/Competencies:

    • Understanding of standard office procedures and protocols.
    • Exceptional verbal and written communication skills, able to articulate ideas clearly and effectively in a variety of settings and with diverse audiences.
    • Strong organizational and time management skills, enabling efficient planning and execution of work to meet established deadlines.
    • Proficiency in using basic Microsoft Office software (e.g., Word, Outlook, Excel and Teams)
    • Strong multitasking abilities.
    • Customer service orientation with a friendly and professional demeanor.

    Education & Experience:

    • High school diploma required.
    • Additional education or courses in office administration, customer service, or related fields preferred.
    • Minimum of 2 years' experience as an office assistant or in a similar role preferred.

    Travel Requirements:

    • Work is performed at the Denver CIVI location Monday through Friday.
    • Schedule: traditional 40-hour workweek or alternative schedule of 9 hour works days M-Thurs and 4-hour workdays Friday.

    Base Pay Range:
    $45,000 - $50,000
