    Job Duties


    The Virginia Department of Education Curriculum and Instruction units is responsible for the implementation of rigorous and relevant Career and Technical Education (CTE) programs designed to reflect the workplace in a global economy that prepares students to succeed in postsecondary education and careers.

    The Office of Career, Technical, and Adult Education is seeking a Program Support Technician to provide administrative support services for the unit coordinator, seven cluster specialists, and other staff, as needed, in an accurate, efficient, and timely manner.


    Specific duties include:


    • supporting curriculum review meetings
    • proofing all materials for organization, accuracy, content, and grammar
    • coordinating arrangements for meetings
    • facilitating the records and retention destruction schedule
    • managing the CTE Application Processing System (CTEAPS)
    • providing Fiscal and Accounting Support
    • coordinating the dissemination of mass electronic mailings to public school divisions, colleges, and universities; and maintaining current files for mailing (electronic and physical mail) lists, labels, and directories as requested
    • producing and/or processing final copies of reports, letters, travel vouchers, memos, statistical data, charts, tables, graphics, certificates, PowerPoint presentations, documents, and other necessary forms from draft materials, dictation, and rough notes
    • creating correspondences, databases, surveys, presentation materials, and other forms as requested

    Minimum Qualifications


    • considerable knowledge of general office organization, practices, and procedures
    • demonstrated ability to generate and proofread written correspondences to include proper grammar, spelling, and punctuation
    • Highly developed communication skills, both oral and written
    • Strong customer service background and excellent interpersonal skills
    • General knowledge of accounting procedures and local, state, or federal fiscal guidelines
    • Advanced knowledge of computers with high proficiency in word processing, spreadsheet, presentation, and database software (to include but not limited to Microsoft Word, Excel, PowerPoint, and other cloud-based programs)
    • Excellent organizational skills with demonstrated ability to exercise considerable independent judgment, handle confidential or sensitive matters, prioritize work activities appropriately, and adhere to critical deadlines
    • Demonstrated ability to organize electronic and physical files
    • Demonstrated ability to work independently or in a team with minimal supervision in a fast-paced, deadline-oriented, work environment with multiple priorities and changing circumstances
    • Demonstrated ability to establish good working relationships with the supervisor, professional staff, and office support staff members in a variety of work situations and to provide courteous and prompt response to general inquiries and requests for assistance
