    Description

    Role :


    The Finance Director will provide administrative support to the Executive Director, ensuring the organization's financial operations and administrative systems are streamlined to enhance its capacity to achieve its goals.



    Responsibilities:


    Bookkeeping and Financial Management:
    Post all cash receipts and disbursements using QuickBooks.

    Manage bank deposits and handle receipts of funds.

    Conduct invoice activities for delivered goods and services.

    Prepare checks for vendors and services on a weekly basis upon approval.

    Reconcile all Foundation bank accounts.

    Maintain and reconcile Foundation's custodial accounts, providing quarterly reports and dispersing the 2% administrative fee.

    Collaborate with HCEF and the investment firm to manage investment accounts.

    Prepare year-end working papers and assist with schedules for annual external audits.

    Work with the HCEF Board Treasurer to prepare financial documents for monthly Foundation Board and Finance Committee meetings.


    Payroll and Reporting:
    Process monthly payroll for Foundation staff and contract employees, ensuring compliance with federal, state, and local regulations.

    Prepare 1099s and maintain W9s for contracted staff.

    Prepare quarterly and yearly payroll reports.

    Track and compile necessary IRS and 501(c)(3) paperwork, ensuring timely completion and forwarding to the Executive Director and/or Treasurer.


    Budgeting and Financial Planning:
    Assist in developing and maintaining the annual budget in collaboration with the Executive Director, Finance Committee, and Board.

    Donor Relations and Database Management:
    Update Bloomerang (donor database) regularly and prepare donor acknowledgment letters.

    Reconcile Bloomerang with QuickBooks.

    General

    Responsibilities:

    Perform basic accounting duties and clerical functions related to fundraising and office activities.

    Maintain professional relationships with donors and students.

    Attend Finance Committee and Board meetings.

    Provide financial information for grants.


    Qualifications:
    Curiosity and inquisitiveness.

    Ability to work independently.

    Excellent interpersonal and organizational skills.

    Strong phone presentation skills.

    Proficiency in Excel, Microsoft Word, and Internet usage.

    Required experience with QuickBooks; familiarity with Bloomerang or similar donor database software preferred.


    Two-year degree from an accredited college; equivalent combination of education, training, and experience, especially in the non-profit sector, will be considered.

    Non-profit experience preferred.
