    Columbus Colony for Elderly Care As a Receptionist at Columbus Colony Elderly Care, you will serve as the first point of contact for residents, families, visitors, and staff, providing professional and courteous assistance at the front desk. In addition to general reception duties, this role requires a basic knowledge of American Sign Language (ASL) to effectively communicate with deaf or hard-of-hearing individuals who may visit or reside in our facility. You will play a crucial role in creating a welcoming and supportive environment and ensuring smooth communication and coordination of activities within the facility.

    Duties/Responsibilities:

    Greet visitors, residents, and staff in a friendly and welcoming manner, and provide assistance and information as needed, directing them to appropriate departments or individuals. Answer incoming calls, screen and transfer calls to the appropriate parties, take messages accurately, and provide information about facility services, programs, and visiting hours. Maintain the reception area in a clean, organized, and professional manner, including tidying up magazines, brochures, and other materials, and ensuring that seating arrangements are comfortable and accessible. Register visitors, issue visitor badges, and log incoming deliveries and packages, ensuring security protocols are followed and maintaining a visitor log as required. Assist with administrative tasks such as sorting and distributing mail, faxing, copying, and filing documents, and updating resident directories and contact lists. Schedule appointments and coordinate meeting room reservations for staff meetings, resident appointments, and family conferences, ensuring that rooms are prepared and equipment is set up as needed. Assist residents and families with inquiries and requests, such as arranging transportation, scheduling appointments, and accessing community resources, and provide empathetic support and reassurance as needed. Monitor and respond to emergency alarms and calls for assistance, following established protocols and procedures to ensure the safety and well-being of residents and staff. Collaborate with other departments, including nursing, social services, and activities, to coordinate resident services and facilitate communication and information sharing. Maintain confidentiality of resident and staff information, adhere to HIPAA regulations and facility policies, and handle sensitive information with discretion and professionalism.

    Required Skills/Abilities:

    • Basic knowledge of American Sign Language (ASL) required to effectively communicate with deaf or hard-of-hearing individuals.
    • Excellent communication and interpersonal skills, with a friendly and professional demeanor and the ability to interact effectively with diverse individuals and groups.
    • Strong organizational and multitasking abilities, with the capacity to prioritize tasks, manage interruptions, and work efficiently in a fast-paced environment.
    • Proficiency in Microsoft Office Suite and basic office equipment, including multi-line phone systems, copiers, and fax machines.
    • Familiarity with basic office procedures, including filing, data entry, and record-keeping.

    Education and Experience:

    • High school diploma or equivalent required; additional education or training in office administration or customer service preferred.
    • Previous experience in a receptionist or customer service role preferred, but not required.

    Physical Requirements:

    • Ability to perform tasks requiring standing, sitting, and walking for extended periods.
    • Manual dexterity and fine motor skills for tasks such as typing, writing, and operating office equipment.
    • Visual acuity and auditory ability to answer phones, communicate effectively, and respond to inquiries.
