    Position: School Age Care Administrative Assistant III

    Hours: 4 hours a Day (12:00pm - 4:00pm) 260 days per year - some possible flexability, additional hours may be required during busy times.

    Rate of Pay: $ per the Administrative Assistant Contract

    Line of Authority: Coordinator of School Age Care

    Education/Certification/Licensure Requirement: Minimum of High School Diploma or equivalent, two-year technical or business degree in finance/accounting preferred

    Essential functions of the job may include but are not limited to the following:

    Financial
    • Schedules billing and receipts in the child care registration system
    • Collect and record payments
    • Addresses past due accounts with customers (verbally and in writing)
    • Respond to customer billing questions and concerns
    • Prepare invoices and reconcile revenue collection on county assistance accounts
    • Prepare bank deposits and issue reimbursements
    • Purchases program supplies
    • Prepare vendor payments
    • Completes monthly credit card reconciliation
    • Tracks program supply expenditures
    Registration and Enrollment
    • Sets up registration system seasonally and for summer program
    • Accept and review student contracts and complete intake spreadsheets
    • Manage registration, attendance schedules and changes
    • Prepare and distribute SAC 197 attendance reports
    • Run reports from registration system as needed
    Marketing and Communication
    • Create e-newsletter for parents
    • Prepare correspondences, flyers and registration forms
    • Assist with the marketing of the program
    • Create social media posts
    • Attend site supervisors' meetings and take meeting minutes
    • Attend SAC administrative team meetings as needed
    • Respond to emails and phone calls in a timely fashion
    Other functions of the job include but are not limited to the following:
    • Distribute SAC site tech devices and provide support (iPads, phones, walkie talkies, etc.)
    • Assign and distribute keypads and codes for families
    • Create spreadsheets to keep program organized and information accessible
    • Request district space for program needs
    • Attend professional development as relevant
    • Provide other clerical support for office staff such as general typing correspondence, creating reports, answering phones and questions related to the program, greeting visitors and answering questions or directing visitors to appropriate locations, filing, copying, and processing mail
    • Other duties as assigned
    Knowledge, Skills and Abilities Required: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.     • One to three years previous experience in a clerical position focusing on billing, finance and/or budgets preferred
    • Ability to work independently while following established procedures and protocols
    • Ability to solve problems, organize, and plan
    • Excellent verbal and written communication skills
    • Recent experience performing other clerical duties such as filing, typing, copying, maintaining routine records, and answering the phone
    • Demonstrated time management skills and ability to multitask and prioritize work while paying attention to detail
    • Ability to establish and maintain cooperative working relationships with others
    • Experience working with diverse economic, social and cultural backgrounds
    • Ability to excel in customer service with customers and internal staff
    • Ability to understand and follow data privacy rules and regulations related to students and families
    • Ability to communicate in Spanish is helpful but not required
    Physical Requirements: General office working conditions, primarily sitting, using close vision and talking; frequently using keyboard to input information into computer, reaching with arms and hands; occasionally presenting information to small groups and lifting up to 20 pounds.

    Mental Job Requirements:

    • Position requires working with interruptions, handling multiple tasks, and organizing and prioritizing work assignments
    • The position requires conflict resolution skills in dealing with parents and colleagues
