Job summary
The Program Operation Specialist shall provide support including the following: Manage the front door visitor traffic flow in and out of the facility. Provide prompt and professional responses to visitor questions and concerns while maintaining poise and self-control under stress and in emergencies Collect and document visitor statistics maintain visitor logs Answer the main phone line take reservation requests for conference rooms vehicles assist with document production manage simple databases prepare mailings Conduct a daily indoor outdoor walk through of the main Tech Park facility enforce safety security protocols keep a report on facility conditions upkeep needs identified concerns Assist FMRD staff ensuring that all visitors have left the building public entryways are secure at end of public hours Learn about Observer Program give basic introduction orientation to building Maintain current Standard Operating Procedures for building security managing visitors government vehicles fleet conference training room conference line reservations Maintain Hurricane Plan Shelter in Place Plan Evacuation Plan coordination with Tech Parks Facility Manager Operate computer printers fax machines be knowledgeable Microsoft Office Software primary Google Suite tools include Gmail Drive Docs Sheets Slides Forms Calendar Google+ Sites Hangouts Assist shipping receiving delivering packages mail Weekly ad hoc mail runs from Tech Park East Falmouth to Woods Hole Village Verify supplies received according packing slip sign date packing slip Review office supply inventory report additional supplies needed to FMRD Administration Team Responsible lowering raising United States Flag on-site order issued President United States Massachusetts Governor notify FMRD staff via email Maintain records FMRDs GSA Leased Government vehicles GOVs maintenance proper upkeep tally fuel receipts tracking mileage usage reports Help prepare emergency response materials training aides prepare employees facility emergencies Monitor severe weather events keep Facility Supervisor informed Ensure cars parked identified registered work log correctly Must hold valid drivers license Detect suspicious activity around building report expeditiously established procedures Lead staff members through emergency response drills fire drill shelter-in-place Perform small repairs around building report maintenance needs proper authorities.Job description
