    Job Description:

    Botanical Designs is seeking a highly driven Staff Account to join our Finance and Human Resources team. This role has the opportunity to support the Company during its growth, both organically in existing markets and through strategic acquisitions, and to cultivate the culture in the Minneapolis/St. Paul corporate office. The core focus of this role will be to consolidate and own the payroll process and participate in other core accounting functions such as credit and collections, accounts receivable and general ledger activities. We are looking for an individual that enjoys multiple levels of responsibilities/duties, is a team contributor and is looking to join our growing team.

    As the key member of the finance and accounting team, the Staff Accountant will partner with both the Controller and Director of Human Resources in building our best in practice finance and human resources team.

    The Staff Accountant will report to the Controller.

    Duties and Responsibilities (Essential Functions):

    Payroll Administration:
    • Calculate and process employee wages, bonuses, commissions, and other compensation accurately and timely
    • Verify timekeeping records for accuracy and completeness
    • Input payroll data into the payroll system and ensure proper documentation
    • Review and reconcile payroll discrepancies
    • Maintain accurate and complete records of all payroll cycles
    • Prepare and maintain financial reports related to payroll as needed
    • Stay updated on federal, state, and local labor laws, regulations, and industry trends
    • Ensure compliance with tax laws and regulations, as well as company policies and procedures related to payroll and HR
    • Implement and maintain internal controls to safeguard payroll data and prevent fraud or errors
    • Collaborate with HR, finance, and other departments to address payroll-related issues and concerns
    • Provide support and guidance to employees on payroll-related matters in a timely and professional manner
    1. Accounts Receivable:
    • Create invoices and account statements according to company practices; submit accurate and timely invoices to customers in accordance with company revenue recognition policies and in line with GAAP
    • Maintain and update customer records, including name or address changes, mergers, mailing attentions, and billing preferences
    • Prepare, post, verify, and record customer payments and transactions related to accounts receivable
    • Research and resolve customer discrepancies and past-due amounts
    • Proactively communicate with accounting, sales, and customers regarding standard past-due accounts and collections
    • Provide helpful assistance and documentation to customers as needed; including form W9, certificates of insurance, payment processing information, etc
    • Process periodic sales tax filings
    1. General Accounting:
    • Prepare monthly journal entries as assigned
    • Reconcile GL accounts as assigned
    • Prepare ad hoc financial analysis as needed
    • Partner with the accounting team, as well as other teams in the organization, to implement best practices and process improvements
    • Perform other related duties as assigned
    Required Qualifications:
    • Bachelor's degree in accounting, finance, or other related field of study
    • At least 5 years prior experience processing payroll in a multi-state, multi-system environment
    • At least 2 years of general accounting experience
    • Proven knowledge of payroll processes, tax regulations and compliance requirements
    • Excellent verbal and written communication skills
    • Excellent attention to detail and accuracy
    • Strong analytical and problem-solving skills
    • Ability to prioritize tasks and meet deadlines in a fast-paced environment
    • Ability to communicate effectively with all levels of employees, as well as customers
    • Thorough knowledge of federal, state, and local labor laws and regulations
    • Ability to interpret and apply payroll-related laws and regulations effectively
    • Demonstrated commitment to maintaining confidentiality and handling sensitive information with discretion
    • Ethical conduct in managing payroll processes and handling employee data
    Preferred Qualifications:
    • Certified Payroll Professional (CPP) designation
    • Experience with payroll systems such as Paychex or Paycom and general ledger systems such as QuickBooks or SAGE
    • Experience in fast paced/high growth private equity owned company
    • Proficient in Microsoft Teams and Microsoft 365
    Physical Requirements:

    Extended periods of sitting: The role primarily involves working at a desk or workstation for extended periods, requiring the ability to sit for long durations while performing tasks such as data entry, computer work, and attending meetings.

    Repetitive tasks: typing on a keyboard, using a mouse, and operating office equipment like printers and copiers.

    Screen time: Employees may spend significant time working on computer screens, necessitating visual focus and the ability to maintain concentration.
