    Organization
    The OUPD Records Manager supports the creation, maintenance, and retention of records processing. Ensures the University complies with the legal mandates of the Oklahoma Open Records Act, Criminal Justice Information System (CJIS) handling requirements, and to respond appropriately to court-issued subpoenas. Coordinates responses to Open Records requests and Freedom of Information Act requests by reviewing, redacting, and compiling records. Assists with administrative functions on behalf of the Police Chief. Serves as liaison with offices on and off campus. Serves as a Campus Security Authority (CSA) by fulfilling training and reporting obligations related to campus safety protocols. May assist with emergency calls, service requests, and incident process. Provides training across all campuses. Hiring contingent upon successful completion of background check to include a successful Criminal Justice Information System (CJIS) certification.Duties:
      Database management: collecting and analyzing data; updates CAD (Dispatch software); inputting case information and paperwork; compiles data to comply with The Jeanne Clery Act requirements.Provides day-to-day coordination of the unit and fingerprint servicesMaintains, schedules, and conducts training programs with the departments concerning records storage and destruction guidelines.Creates and maintains databases for stored records.Organizes stored information in a concise and uniform manner to ensure an efficient records center. Ensures all records are accurately identified prior to storage.Prepares records management system reports and correspondence.Provides accurate, up-to-date information regarding records retention guidelines and ensures compliance with records retention requirements.Answers multi-line telephone system and dispatches appropriate personnel to address issues, answer questions, make announcements and schedule services.Participates in the formulation of and changes to departmental and management policies.Assist with Special Events support on Norman campus as required.May run errands for department and provide backup to the OUPD Dispatch team.Performs various duties as needed to successfully fulfill the function of the position.


    Job Location

    Required Education: High School Diploma or GED, AND:

    • 24 months experience in records management or related filed.

    • Must be proficient in all Microsoft Office (Word, Outlook, Excel)

    Departmental Preferences:

    • Previous experience dispatching for a public safety organization
    • OLETS certification, or ability to become OLETS certified within six months of hire
    • Bilingual in conversational Spanish and English
