- Serve as overnight liaison for flight crews and all other departments for flight assignments, flight planning, and flight following.
- Monitor aircraft in-flight (flight following emails, calls, weather, in-flight diversions, emergencies) and establish contact with appropriate parties in the event of unscheduled events or itinerary changes.
- Perform flight log entry and verification and record keeping including fuel expense reporting.
- Review any new bookings and changes to current flights assessing all operational aspects to include but not limited to runway/airport conditions, NOTAMS, curfews, facility amenities, any reservation requirements.
- Work with appropriate department(s) on flight releases and distribute crew briefings and trip sheets.
- Book Pilot Airlines needed to/from Training events and Crew Swaps.
- Review any necessary reports (fuel reports, endurance reports, seven-day NOTAM outlook, etc.) and flag any potential issues/questions to appropriate team(s).
- Manage daily ops review process and follow-up on any open items or communicate changes that could affect the next day's trips.
- Assist in recovering any Member/Charter/Owner mechanical issues or pop-up/ASAP flights in a timely manner with efficiency and effectiveness.
- Serve as overnight point of contact for wholesale charter flights, including any quote requests, changes to current trips, and any other communication/action needed.
- Update any off-fleet vendors with any changes to currently booked flights and serve as main point of contact during shift.
- Work on other duties, including, but not limited to, searching for hard quote options for clients and assisting with any invoicing of wholesale charter flights and/or outsourced member flights.
- Interact directly with Members and Owners via telephone, fax, text, email, or in person; understanding when to escalate as needed.
- Communicate flight itineraries and details regarding shift events to local Concierge teams through pass down emails, phone calls etc.
- Regular and predictable attendance.

- Performs other duties as assigned.
- Familiarity with FAA Regulations and general aviation flight operations
- Ability to work both independently and as part of team
- Experience managing and prioritizing multiple searches, projects, and relationships
- Familiarity with general aviation flight operations and Flight Operation System (FOS)
- Excellent verbal and written communication and interpersonal skills to effectively interact with all levels of the company and its customers
- Proficient in Microsoft Office Suite
- Ability to work in a fast-paced environment, with strong attention to detail and organizational skills
- Ability to handle and maintain the confidentiality of sensitive information
- Ability to exercise independent judgment, discretion, and initiative
- Self-motivated and willingness to take initiative to research and resolve problems
- Ability to work with frequent changes in procedures, directions, and outcomes
- Ability to work overnight hours, weekends, flexible schedules
- Operate office equipment as needed
- Bachelor's degree or equivalent
- 2-5 years of aviation experience
- Or a combination of training, education, and experience equivalent to the standards listed above that provides the required knowledge, skills, and abilities
- Majority of work is completed in a normal office work environment
- Prolonged periods of sitting at a desk and working on a computer
- Able to complete physical activities such as standing, sitting, walking, talking, and hearing to perform daily work functions
- Must be able to move up to 25 pounds on an infrequent basis
